3. Executive Summary
This year, on Sunday March 22. 2020, The Penny will be hosting
its first ever, Petals for Sepsis Event. The event will be held
to help bring awareness to our guests about what Sepsis is.
Sepsis is a rare disease that comes from an infection in the
body that reaches the bloodstream and can cause failure to the
organs. It is a very life threatening disease that many are
affected by each year.We want our guests to know that we are
thinking of them and their loved ones who have been affected by
Sepsis. Guests who have been invited will receive an invitation
in the mail three months prior to the event. Inside of the
invitation will be a little bag full of different flower seeds
such as Roses, Tulips, Sunflowers and Dahlias to remind them of
our mission statement, “Let’s Grow Awareness for Sepsis.” We
want to encourage our guests to plant their seeds and watch them
grow at home, while at the same time we get ready for the day of
our event in hopes of growing awareness about Sepsis.
Our first time event will offer our guests a rustic theme with a
floral pattern. Our indoor space will be filled with chairs and
tables turned toward our main activity of the event, the runway
for our fashion show. We will have a live pianist playing
inside, as well as our photo booth and flower wall which are
part of our activities. We will have beautiful centerpieces on
the tables as well as indoor string lights to compliment all of
the floral patterns. We will have the hors d'oeuvres, our
beverage options, as well as our dessert options located in our
exterior space to create more movement and flow to negate from
too many people in one spot.
As for our food and beverages, we plan to provide our guests
with a buffet style of serving. Guests will be able to pick up a
plate and choose from our wide variety of hor d'oeuvres such as
bacon wrapped dates, balsamic bruschetta, mini pulled pork
sliders and vegetable spring rolls. We will also be serving
artisan curd fresh burrata, and for dessert we will have donuts
that will be displayed on a donut wall. Our guests will have
many activities to participate in if they choose to. These

4. activities consist of our Flower Wall, a photo booth, silent
auction, and fashion show. The Penny is in downtown San Luis
Obispo. It does not have parking spaces, but there are multiple
parking garages that our guests will have access to that are
within very reasonable walking distances from each other. We
will also be offering an Uber code that they can pick up that
gives them a 15% discount off of their ride if that is their
chosen way of transportation. We want to make it as easy for
them as possible with the options that are available!
We believe our guests will leave our event with a happy and
hopeful heart. We also want them to have amenities to take with
them to remember the purpose of our event. All of our
centerpieces that will be located on our tables will be
available to bid on during our silent auction. Guests will be
able to bid on them, and whoever has the highest bid will be
allowed to take their centerpiece home.We hope that our guests
will join us for a great time, and help us “Grow Awareness for
Sepsis.”

6. The 6 A’s
Anticipation
Three months prior to our event, we will have sent invitations
to our guests. In each invitation, there will be a package that
is filled with 5-10 seeds of an assortment of different kinds of
flowers such as; Roses, Tulips, Sunflowers and Dahlias. Along
with the seeds, there will be a flier that has all the important
information about the event that we want to remind our guests
of. Such as the location,date,time and our mission statement,
“Let’s Grow Awareness for Sepsis.” We want to encourage our
guests to plant their seeds and watch them grow at home, while
at the same time we get ready for the day of our event in hopes
of growing awareness about Sepsis. Each time they look at their
flowers growing they will be reminded about our event and look
forward to attending. We will also have a reminder letting them
know that we will be doing a silent auction, as well as a
fashion show, and there will be items auctioned off for both of
them! We want our guests to be excited and eager to attend our
event knowing they can broaden their knowledge on Sepsis, as
well as help spread knowledge about this disease after leaving
our event.

7. Arrival
Arrival instructions will be available to our guests when they
receive their seed packet invitation. On the backside of the
invitation, there will be suggested parking options and an Uber
Code provided. The suggested parking options are: Marsh Street
Parking Structure (6 min walk); Parking Garage, 812 Palm St. (8
min walk) and street parking near the Penny. The Uber code can
be used for both arrival and departure, with 15% off your ride
with the code: petalsforsepsis. Upon arrival at the Penny, there
will be a handwritten chalkboard welcome sign with the name of
the event, as well as an arrow pointed in the direction of the
starting point of the event. There will also be balloons outside
the event to draw attention to the event venue. There will be a
volunteer positioned at the front at a table with flower
arrangements, where she/he will check in the guests and provide
a schedule of events. The flower arrangements will excite guests
about the event they are about to experience.

8. Atmosphere
Our vision board manifests a rustic and floral atmosphere for
the first annual Petals for Sepsis event. The Penny Hotel will
have a large, elegant floral arc that highlights the runway
where the floral fashion show will take place. Furthermore,
there will be an activity where attendees are asked to recognize
a loved one and write their name on a small sheet of paper. Once
they write that individuals name, they are asked to pin the
paper onto a floral leaf wall, lightly lit by candles. The
candles contribute to the overall calm and relaxed environment
this event embodies. Each table attendees are seated at will
have a copper vase filled with an elaborate floral arrangement
that includes a variety of green leaves and vines; highlighting
the earthy, pastel colors that embody a rustic theme. Wooden
walls, tables, signs, and beams will be used for decorations to
accentuate the rustic vibe outside of the floral arrangements.
Light brown, copper, and green accents will be displayed
throughout the venue. One example is through the copper mugs
that the moscow mule, the highlighted cocktail, will be served
in. The outdoor venue will have high rise tables, decorated with
green leafy vines that lay across them. LED lights will be
strung throughout the outdoor patio that contribute to the
serene atmosphere. To contribute to a softer lighting, wooden
framed lanterns shown in the vision board will be used to create
that authentic and comfortable ambiance. A live band
specializing in alternative music will be performing for guests
to enjoy and to further fit the harmonious environment.

9. Activities
There will be a variety of activities offered for guests to
partake in. Guests will first arrive and have an hour to
socialize, listen to live music and mingle with other guests.
After the first hour has passed, VIP ticket holders will be
called to get first preference on bidding on the silent auction
items. Once they have been given 30 minutes to bid, General
Admission ticket holders will have 30 minutes to bid as well.
The proceeds will go to Sepsis research and awareness. A local
pianist will play music indoors for guests upon arrival and
throughout the entirety of the event. Guests are encouraged to
make song requests, to make it more interactive and intimate. A
photo booth will be available inside for guests to use
throughout the night. This photo opportunity is in addition to
polaroid cameras given to guests at the beginning of the night.
Guests will be asked to recognize a loved one and place it on
the floral wall, as mentioned above. The main activity is the
floral fashion show, where guests will see beautiful floral
designs that continue to emphasize the theme of growing
awareness for Sepsis.

10. Appetite
Food:
Petals for Sepsis will include a stationary cheese bar, passed
hors d'oeuvres, and a donut wall for dessert. The cheese
station is an artisan “Burrata Bar” which will include fresh
curd burrata and a variety of toppings. These include tomatoes,
basil, bruschetta, and truffle. The “Burrata Bar” will be
self-serve for guests to enjoy their customized plate of
burrata. There will be 4 passed hors d'oeuvres between the
hours of _ and _. The first round will be a sweet Medjool date,
stuffed with goat cheese, and wrapped in smoky bacon. The
second round will be a balsamic bruschetta with roasted
tomatoes, basil, garlic, and balsamic vinaigrette on toasted
french bread. The third round will be a mini slider stuffed
with pulled pork and coleslaw. The fourth, and final, round
will be a vegetable spring roll filled with snow peas, minced
green onions, and cilantro, wrapped in a rice paper wrapper, and
paired with a toasted peanut dipping sauce. There are two vegan
options for the passed hors d'oeuvres: the Balsamic Bruschetta
and the Vegetable Spring Roll. For dessert, there will be a
donut wall with a fresh selection of donuts provided by SLODoCo.
This dessert will offer classic, old-fashioned donuts as well as
gluten-free and vegan options. The inspiration behind the menu
is to provide healthy options in a rustic, farm-to-table style.
Our food will be provided by local catering companies that value
fresh ingredients.

11. Beverages:
Petals for Sepsis will be using Sidecar Bar catering to provide
refreshments at the event. This will include three classic
cocktails, four choices of local wines, and one option of local
beer. The first cocktail that will be offered is the “Magnolia
Mule” which is a variation of a Moscow Mule. It incorporates
Kettle One vodka, muddled mint, fresh ginger, lime juice, and a
splash of ginger beer. It will be served in a copper mug and
topped with a Magnolia flower. The second cocktail that will be
offered is the “Hibiscus Mojito” which is a flowery version of a
mojito. It incorporates Bacardi rum, muddled blackberries,
hibiscus extract, and a splash of club soda. It will be served
in a tall glass and topped with a hibiscus flower. The third
cocktail that will be offered is the “Marigold Spritz” which is
a variation of an Aperol Spritz. This incorporates Aperol
liquor, prosecco, club soda and a fresh orange slice. It will
be served in a wine glass and topped with a Marigold flower.
The inspiration behind these cocktails is to mimic popular
flowers and play along with the theme. There will be a
selection of four local wines at the event. These are wines
provided by local wineries and sold at Sidecar. The first is a
Sauvignon-Blanc from Brander Winery in San Ynez. The second is
a Chardonnay from Wolff Winery in Edna Valley. The third is a
Bordeaux Blend from Folkway “Revelator” in Paso Robles. The
fourth wine is a Cabernet Sauvignon from Bonanza, California.
We chose these wines to highlight the varietals on the Central
Coast and to give guests many options. Finally, there will be
one local beer served at Petals for Sepsis. This is an 805
Craft Brew by Firestone Walker Brewing Company based out of San
Luis Obispo. Similar to the wines, we wanted to highlight San
Luis Obispo’s local beer.

12. Amenities
It is important to ensure that every guest wilI walk away from
the event will a small memento reminding them of their
experience. In order to provide amenities for all of the guests,
we will supply Polaroid cameras for guests to use in front of
the flower wall and wearing floral props. All guests will be
able to take home their picture as a souvenir. As a part of the
events activities, there will be a silent auction throughout the
night. The winners of these packages will get to take their gift
home at the end of the night which will provide another form of
amenities for some guests. Additionally, we will be providing
unique one-of-a-kind floral centerpieces. We plan to have these
centerpieces placed on tables before the guests arrive, but at
the end of the night they will get to take these arrangements
home. Hopefully guests will use these to decorate their own
living spaces and see it as a reminder of a remarkable event.

19. Event Infrastructure:
Floorplan
Interior:
Crescent tables will be placed at the end of the runway in a
staggered formation for guests to be able to enjoy their
cocktails and appetizers while watching the fashion show. There
will also be rows of theater seating on each side of the runway,
giving guests an authentic fashion show experience. A bar will
be located at the far corner of the interior, drawing guests
into the event. The flower wall will be located to the side of
the tables so guests can easily participate in the
acknowledgment of their loved ones. The pianist will play quiet,
serene music while guests mingle and enjoy the different
activities offered. Two bathrooms will be located in the center
of the event, making it easily accessible for all guests.
Speakers will be located on each side of the runway. A flower
arc will be placed at the front of the runway, adding to the
atmosphere.

20. Exterior:
High boy tables will be provided at the center of the stations.
Open space will provide guests the opportunity to mingle, enjoy
live music outside and enjoy the various food and beverage
stations. A volunteer will provide information about the silent
auction as guests arrive. LED lights will be strung across the
courtyard. Not only will this provide good lighting, it will
also add to the aesthetic of the event, making it more appealing
to take photos and share. The live band will be located at the
far end of the courtyard, playing light music that will allow
guests to talk at a reasonable volume. The second bar will be
outside near the food and dessert stations. Guests are
encouraged to enjoy their beverages either inside or outside.
In case of rain, tents will be placed above the high boy tables,
bar and food stations. However, Hors d'oeuvres will only be
passed inside. If weather does not permit outdoor activities,
guests are encouraged to enjoy the live music inside.
