Ray Klinginsmith, the 2010/11 President of Rotary International – Among the ways in which President Ray has asked RI to support and strengthen Clubs are these three strategies ... Including encouragement to clubs to implement a strategic planning process .... In this he is consistent with the message of our past President John Kenny, who said "The future of Rotary will not be shaped at RI headquarters -- it will be shaped in each and every Rotary club.” John Kenny asked every Rotary Club to embark on a planning process to make Rotary strong and effective, starting at Club level. 07-Club Planning Present V6 04-17-06

Vision Facilitation Presentation 08/13/13 You should be aware that RI since 2007 has an ongoing Strategic Plan with well defined priorities and goals … This has been widely promoted and is available on the Rotary web site More recently, RI has released its “Strategic Planning Guide for Cluibs and Districts”, first posted on the www,rotary.org in December 2008. This is a 4 page document, these are some of its key points. All of these points are covered by and consistent with the Club Vision Facilitation Program. Note point 2 “ unbiased facilitator or group of facilitators” – In November 2008 we have trained 80 experienced Rotarians across every state and 20 Rotary Districts as facilitators (each during a comprehensive full day training woirkshop) to take this plan to clubs.
Vision Facilitation Presentation 08/13/13 Vision Facilitation Presentation 08/13/13 Many clubs have lost focus and simply react to the many requests that they receive. When they have a vision and a focus, they are able to be proactive about only picking those requests that fall within their focus areas. The future does not come to us, we create the future.
Vision Facilitation Presentation 08/13/13 How does our process work? We visit one Club at a time, on invitation by that Club. Taking at least 3 facilitators on each occasion streamlines the process immensely. While one is facilitating the group, two more are writing on the flip charts, and another may be entering the data on a computer to analyse and present back at the end of the session. In a small Club we invite all members to participate, in a large Club we restrict that to a maximum of 30 participants, but insist that that includes all current and incoming club leaders, and a representative group of Club Rotarians including both genders, a range of ages, and the full range of Rotary experience from the newest members to the longest serving.
Vision Facilitation Presentation 08/13/13 After an initial power point presentation, participants are asked to do a writing exercise where they write in dot point form their ideas of what they want their Club to be like in 5 years time. Being able to write the ideas down allows each member free rein, all ideas are acceptable, and those of the newer and quieter members will rank equally with those of the club leaders and longest serving members.
Vision Facilitation Presentation 08/13/13 The ideas from the writing exercise are extracted verbally by a facilitator “working the room” and are placed on large wall charts which are placed around the room. These cover all aspects of a clubs activities; What should be the main attributes of our Club, and what should it be know for in our community. plus Membership Administration Each of the 4 Avenues of Service Fundraising etc.
08/13/13 In each of these subject areas, mebers will be asked to write down 3 dot points of their vision in that area. This covers most or all aspects of a club’s activities.

Vision Facilitation Presentation 08/13/13 Participants then go through a process of voting by placing coloured dots against the ideas which they most strongly support in each category.
Vision Facilitation Presentation 08/13/13 One of the facilitators will analyse the results of this voting process and present this back to the members
Vision Facilitation Presentation 08/13/13 Finally, tasks are allocated to certain members (volunteers) for the ongoiung course of action
08/13/13 Get volunteers and actually fill in a chart to demonstrate how this is done. This is the last slide. Closing remarks follow. Vision Facilitation Presentation 08/13/13 07-Club Planning Present V6 04-17-06
