Convention.

TAXIS AND AIRPORT TRANSPORTATION
• If you arrive on or after 31 May 2019 and
are eligible to pick up your badge at the
airport, you are able to use the HVV to get
to your hotel.
• You can also use MyTaxi, a taxi
hailing app. (Similar to Lyft/Uber)
HOST (HOC) EVENT TRANSPORTATION
• Rotary will not be providing buses to any of the HOC events,
however you can access them by using public transportation
(HVV) or using the MyTaxi app.
• When purchasing tickets on the HOC website, it will note when
transportation is included.

  1. MICHELLE For the next 75 minutes we will discuss everything you need to make the most of your trip to the 2019 Rotary International Convention in Hamburg.
  2. MICHELLE During today’s webinar you will learn Highlights from general sessions, breakouts, host events, and more What to pack and what to wear Tips for finding your way around Hamburg and the convention venue How to use the Rotary Events mobile app Ideas for connecting with new friends and project partners Where to find other resources to enhance your convention experience.
  3. Each Rotary convention is comprised of a few basic features: The official convention program of general sessions and breakout sessions Events planned by Rotarians in the host area and preconvention events on special topics Exhibits highlighting club and district projects from around the world. We’ve got all that and more in store for you next month. Let’s start with some general session highlights.
  4. Our general sessions are open to all convention registrants and feature inspirational remarks from Rotary leaders and guest speakers. In Hamburg, we're presenting a wide spectrum of programming and entertainment at the general sessions.  The general sessions will feature exceptional speakers from around the world, celebrities, key government officials, as well as performances by acts from around the world.
  5. We're very excited about the keynote speakers lined up for this year's event as well.  In addition to our Rotary International President, President Elect and other senior leaders, some of our guests this year include: Marianne Amir Azer is a member of Egyptian Parliament; the Chair of Women and Youth Committee in the International Parliament for Tolerance and Peace; and a member in the Parliamentary Assembly Union for the Mediterranean. Steve Farber is the president of Extreme Leadership, Incorporated, and the founder of The Extreme Leadership Institute. These organizations focus on the cultivation and development of Extreme Leaders in the business community, non-profits, and education. Patience Asiimwe is a charter member and inspirational president of Rotaract Club of Naguru and is currently working with Uganda Cancer Society as a Resource Mobilisation Officer. She recently participated in “Two Drops of Patience,” during which she had the opportunity to show what it takes to immunize children in hard to reach areas against polio.
  6. Lark Doley, of Austin, Texas, is serving as the Toastmasters International President for 2018-19. A Toastmaster since 1990, Doley has held a number of high-profile leadership positions within Toastmasters and has attained the Distinguished Toastmaster designation—the highest level of achievement in the organization.   From 2005-2013, Dr. Gerd Müller was Parliamentary State Secretary to the Federal Minister of Food, Agriculture and Consumer Protection, where he oversaw, among other topics, international relations, development projects, and global food security. Miss Thato Kgatlhanye is a South African entrepreneur that has been earmarked by Bill Gates as one of the entrepreneurs to watch. Her accolades include: The Nelson Mandela Ubuntu Award for Youth Diplomacy, “Innovator of the Year” by Forbes Women Africa, and the Elle Magazine International Impact Award.
  7. And you won’t want to miss the flag ceremony. You may have heard about this from others in your club who’ve attended a convention. This tradition of displaying all of the flags from around the Rotary world is often one of the most impactful parts of the opening plenary session.
  8. This year, the Hamburg Host Organization Committee has arranged an amazing suite of ticketed events for your enjoyment! These include a bike tour through the beautiful city of Hamburg, a 3K awareness walk to draw attention to the work Rotary does against Polio, a welcome reception in the historical Hamburg Chamber of Commerce, an unforgettable evening of music and dance. The National Youth Ballet company, and so much more!
  9. To learn more and register for these events, head to the Host Organization Committee’s website - ric2019.rotary.de. You can also learn more about Hamburg, explore the best sites, and learn about day trips, tours, and specialty events that our hosts are offering.
  10. The Rotaract Preconvention is the perfect opportunity to network with Rotaractors and Rotarians from around the world. You can increase your Rotaract knowledge, learn and share best practices, and build new relationships over the course of the event. The Youth Exchange Officers Preconvention brings together Rotarians involved in the Rotary Youth Exchange program to share ideas and make connections for future exchanges. And finally, don’t miss your opportunity to join leaders from around the world at the Rotary Peace Symposium. Following the theme of sustaining peace through partnership, you’ll explore how we can create peace in our communities and inspire others to take action. Registration for all three preconvention events is still open.
  11. Hamburg will be warm in June, with an average high temperature between 18-20 degrees Celsius (66-68 degrees Fahrenheit), and an average low temperature between 10-13 degrees Celsius (50-55 degrees Fahrenheit). It could also rain at any time so it is advisable to have either a raincoat or small umbrella on hand. The dress code is business casual for the convention. Be sure to bring a good pair of walking shoes and a light jacket or sweater. Temperatures can vary in different parts of a convention center, and you want to be comfortable. Evening events may be more formal, so check your invitations to dinners, receptions and other events to see if you’re expected to dress up.
  12. German visa requirements vary by country of citizenship. Citizens of European Union countries, many other European countries, the United States, Canada, Japan, Korea, Australia, New Zealand, Taiwan, and many Latin American countries do not need a visa to enter Germany. To determine whether you need a visa, visit the website of the Federal Republic of Germany. Cancellations caused by visa denial must be received in writing by 5 June 2019. Please refer to the convention registration form for the full cancellation policy. Rotary International’s involvement in the visa process is limited to providing a registration confirmation and a letter of invitation, and provides the German government with a list of convention registrants on a regular basis. The visa consular has sole discretion in determining who receives a visa.
  13. Hamburg welcomes visitors from all around the world. But even the most experienced traveler knows that regardless of location, tourists should exercise caution. Remove your convention badge when you’re not at the convention venue, convention hotels, or a Rotary-ticketed event. Stay alert, and show strong, confident body language. Avoid traveling alone, don’t carry large amounts of cash, and keep your valuable belongings in a safe place.
  14. When you arrive at the Hamburg International Airport, you can pick up your convention badge and lanyard in the baggage claim area in terminals 1 and 2. Just have your registration number and photo ID ready and be sure to have pre-registered and paid in full. Look for signs and volunteers directing you to these areas. Badge pickup at the airport opens at 15:00 on Thursday 30 May and is available through 15:00 on Sunday 2 June.
  15. And now on to your initial arrival to the convention center. Registration at the Hamburg Messe opens on Thursday, 30 May at 15:00 and is located in Hall A2. If you’re arriving to the convention on Sunday before the opening ceremony, give yourself enough time to pick up your materials or come early and pick them up the day before! Also, make sure you are registered! Registering online in advance of the convention is the key to quickly picking up your badge and convention materials in Hamburg. When you arrive at Registration, be sure to have your registration number and a photo ID and proceed to a pre-paid badge pickup counter.
  16. At Registration or at the badge pickup areas at the airport, you will check in and receive your name badge and a lanyard. Your badge contains a chip, that will be encoded with the Rotary-ticketed events that you are signed up for. If you would like to register for additional events or add another guest, proceed to a New & Unpaid Registration counter in Hall A2 to add Rotary-ticketed events, preconvention events, or a new guest. Payment can be made by credit card or by cash in Euros. After you receive your badge, proceed to the Program book/Transportation guide booth to collect your convention materials and tote bag. In the registration hall, you can also find Badge Corrections to make any needed changes to what is printed on your badge and also the booths for Housing Assistance and Interpretation Radios.
  17. After you have picked up your registration materials, visit the Host Ticketed Events area located at the Central Entrance counters on the Ground Floor, where you can find out more regarding the events Shannon mentioned earlier planned by the Host Organization Committee (HOC) as well as local regional tours and information.
  18. New this year, Rotary will be utilizing public transportation, known as the HVV, for the Hamburg convention. All registered attendees will have access via your convention badge to use the public transit system in the Hamburg AB fare ring from 31 May through 6 June 2019. Please note, that while we recommend that you remove your badge when you leave the venue, you will need to keep it somewhere that is easily accessible, as you will need to show HVV staff when asked. They will be looking for the logo on the back of your badge as shown. If you’re using the HVV outside of those dates you will need to purchase a ticket. If you do not have your badge or a ticket when asked, HVV staff may issue a fine. Please note that we will not be offering a shuttle service from hotels to the convention center this year. Hamburg is also a very a bike-able city, and many locals do commute using bikes. Please be mindful of them as there is a main bike lane outside of the central entrance.
  19. The HVV is the principal public transportation operator in the Hamburg metropolitan area; this includes trains, busses and ferries. As I mentioned, you’ll have access to the Hamburg AB fare ring, this is illustrated by the grey ring you see on the system map. Please note that all official convention events will happen within this ring; this ring also includes access to the Hamburg airport. General hours of operation are between 05:00-23:00. The Hamburg Messe is located near two train stations, Sternschanze and Messehallen. Trains typically run every 5-minutes during peak service, and every 10-minutes off peak. We will also be offering a limited shuttle between the Sternschanze station and the Hamburg Messe, Central Entrance; otherwise it is about a 10-minute walk from each station to the Central Entrance. Detailed public transportation information can be found at the website on the screen and in your transportation guide. There is also a detailed guide under the local transportation tab on the convention website that shows the directions from each official hotel to the Hamburg Messe. There will also be a sign located in the lobby for your ease.
  20. If you arrive on or after 31 May and are eligible to pick up your badge at the airport, you may use your convention badge to travel to your hotel. There are HVV staff available in the airport to help you navigate to your hotel or you can use the HVV trip planner tool. If you’re departing towards the airport on 6 June 2019, you can use your badge to travel back to the airport. If you would prefer to travel via taxi, we recommend using the MyTaxi app to hail a taxi to your hotel. MyTaxi is one of the sponsors of the Hamburg convention, and works similar to rideshare apps such as Uber or Lyft. You put in your pick up location and your destination to hail a ride. It will then show you how far your driver is, their name, car type, and license plate number so you can easily identify your taxi. When you arrive at your destination you can pay via cash or credit/ debit card. If you would like to pay by card, you do need to put your card details in prior to starting the trip. The average cost to get from the airport to city center is €45. If you’re getting a cab from the airport and not using the app, please make sure that you ask the taxi if they accept cards prior to starting your trip if that’s how you would like to pay. You can also use the MyTaxi app to travel around Hamburg. MyTaxi will be donating the revenue from trips departing to and from the Hamburg Messe to the Rotary Foundation during the convention, so it’s a great way to explore and also support the foundation.
  21. Transportation to all host events varies, so be sure to check your tickets and confirmation for details. Rotary will not be providing buses to any of the HOC events, however you can access them by using public transportation (HVV) or using the MyTaxi app. There is Transportation Information Booth located in the Central Entrance of the venue. Feel free to stop by during the convention if you need any assistance.
  22. The Hamburg Messe will be the main convention venue.
  23. There are two sides to the Hamburg Messe: the A Side and the B side are connected by the Sky Bridge on the second level.
  24. You will arrive at the Messe near the Central Entrance, which is the large glass lobby adjacent to the TV tower. Registration is located in Hall A2. (Green) The House of Friendship is split in two Halls A3 and A4. (Purple) You’ll find food truck concessions between these halls. Breakout sessions in will be held in Hall A1 B1-2-3-4 - B7 (Blue) The general sessions will take place in Hall B6 (Gold) Ticketed Luncheons on Mon Tues Wed and the Inspiration Lounge will be held in Hall B5 (Red star)
  25. Whatever your interest, you’re sure to find something appealing on the breakout program next month. In addition to the general sessions, the convention program features over 90 breakouts sessions. Our breakout program includes panels of subject matter experts, motivational talks, and so much more! The breakout sessions are designed to provide many different ways to learn including the Rotary Business School sessions! These topics were selected by convention attendees earlier this year: teamwork, innovation, and effective communication. Your program book will contain detailed descriptions of each session and a schedule “at a glance”, organized by day and time. This can help highlight the broad themes each session will discuss. With only three days, and so many possibilities, you might wonder how to choose the sessions you want to attend. Pick a few topics of personal interest as well as one or two that that could benefit your club. Consider coordinating with a friend: split up, attend different sessions and then swap notes about what you learned.
  26. Remember that seating for all breakouts is on a first come first-served basis, so your first-choice topic may be full when you arrive. There will be several screens located throughout the Hamburg Messe that display the current number of seats available in each breakout session room, so be sure to check those as you walk between sessions. Resources from most sessions will be available to download via the Rotary Events app, so you’ll have access to information about sessions you missed. If you haven’t downloaded the app yet, stay tuned – we’ll tell you more about it shortly.
  27. Most sessions are presented in English, and several offer simultaneous interpretation in multiple languages. If a session will be presented in a language other than English, it will be noted in your program book and in the mobile app. Remember to double-check the language of the sessions you want to attend. Looking for sessions with simultaneous interpretation? Look for the icon you see on your screen in your program book and on the signs outside of breakout rooms. If English speakers need to purchase interpretation receivers for a session, this will be noted in the session description in the mobile app.

  29. To download the app to your mobile device, just search for Rotary Events in your app store, either Google Play or Apple iTunes. If you’ve been to the Convention before and have used the mobile app, you will have to delete your current app and download the new app, since we have changed vendors since Toronto. The app will give you access to the most up-to-date program information and allow you to plan your schedule, download resources, rate sessions and connect with friends.
  30. When you’re logging into the App for the first time, choose the 2019 Hamburg Convention event. Next, enter your profile information. After you’ve included this you’ll be taken to the main page of the app – the activity feed. If you ever want to get back to your profile and edit your information or update your privacy or app features settings, just click on your photo icon or initials in the upper left hand corner of the app as indicated by the orange arrow.
  31. The activity feed is the main page of the app. It’s a constant flow of information that convention attendees are posting: pictures of friends and activities, questions, and comments and thoughts on the convention! It’s a fun way to connect with other attendees, and as you can see the activity feed is already quite popular. If you’d like to post your own comment or picture, click on the icon in the upper right hand corner You’ll be able to create a post, upload a picture, or tag a location as you’d like.
  32. The agenda is one of the most useful parts of the convention app. To get to the agenda, click the “Agenda” button on the bottom of the app screen. You can scroll through the convention program and find information on what is happening. One of the great features of the app is that you can add sessions to your own agenda in order to create a personalized schedule of what you would like to go to. To do that, tap the session on the main agenda page that you want to add to your agenda and then tap “add to my agenda” at the bottom of the screen. Everything that you have added will appear under “my agenda” which you can see by tapping the corresponding icon on the top of your app screen. Please note that while adding agenda items to your app schedule is convenient for you, it does not guarantee you a seat in a session – whether that is your opening session assignment or a breakout session or a rotary- or host-ticketed event.
  33. The agenda is quite complex and full of a lot of information, and it may be helpful to filter the agenda to find what you are looking for more easily. If you tap the filter button in the upper right hand corner, you can select the topics (or languages) that you would like to view. For example, I’ve clicked to filter for breakout sessions, and then I’m able to see only the breakout sessions on the agenda.
  34. If you’re looking for more information about the Convention, the General Information tab is a great place to find that. Tap “More” on the bottom of the screen, and a menu will appear. Then, tap General Information, and all the categories will be listed alphabetically. Scroll or tap the letter to find what you’re looking for.
  35. You can also find general session and breakout speakers’ information under the “More” Tab. Click on the more tab, and then speakers to find a list of speakers for the convention. Speakers are listed alphabetically by last name. Here we find that our very own Shannon Watson is speaking at the Convention. When we tap on her name, we see Shannon’s information that she has provided, as well as the session that she is speaking in: Bidding on a Future Convention. Speakers and sessions are linked together, so you can easily go back and forth between speakers and sessions to learn more. Let’s do that!
  36. When we click on the breakout session, “Bidding on a Future Convention” we are taken to the session’s page. There we see the time, location, and description of this breakout session, as well as a list of the speakers. Say for example, I am attending this session. I can add the session to my agenda, and then I have the option to have a discussion with other people who have added this session to their agenda. Click Channel on the top of the screen, and then join channel on the bottom. That’ll take you to the channel discussion where you can post messages and continue the discussion. A friendly reminder, adding sessions to your agenda does not guarantee you a seat in a breakout session. But it does allow you to chat with other people who have added it to their app agenda. If you add sessions to your agenda, you’ll also be able to fill out evaluations for the sessions you have attended, which help the session speakers get valuable feedback.
  37. This is just a high level overview of the mobile app. There are so many ways to engage with the app and convention attendees, such as finding a list of exhibitors in the House of Friendship, navigating your way around the Convention and Hamburg, connecting with other attendees, participating in a discussion forum, or learning more about Hamburg.
  38. The House of Friendship is the heart of the convention, where convention attendees come together to learn about project opportunities, sample local food, make new friends and do a little shopping. The House of Friendship is located on the A Side of the venue in Halls A3 and A4. This will definitely be the place to explore and hang out between sessions. It will feature more than 400 exhibits from Rotarian Action Groups, local vendors, sponsors and more. The House of Friendship is also your place to learn about exciting new ventures, share best practices, and meet potential partners with club and district projects. Also, the Rotary Marketplace, featuring licensed vendors, where you can add to your collection of Rotary-themed products. Along the front of All A3 you will find an entertainment stage showcasing local entertainers and music.
  39. In addition to the exhibit and entertainment The House of Friendship is also your place to connect with Rotary Fellowships. Meet people with shared interests by visiting our Fellowships and Rotarian Action Groups. Wherever your personal, professional or Rotary service interests lie, there is a good chance you will find a fellowship or action group that is perfect for you.
  40. JIM Is your club thinking about, or currently planning, a service project? The House of Friendship provides an excellent resource to learn about exciting new ventures, share information, and meet potential partners with club and district projects.
  41. Rotary has several special exhibits that you wont want to miss. In Hall A3, You can also experience several Virtual Reality programs in booth 3413, Connect and Learn about Rotary’s Social Media efforts at the People of Action Social Media Center – booth 3412, and learn about next years convention in the Honolulu Promotion booth - #3410. And NEW this year, the Strategy and Vision Booth is an immersive walk you through Rotary’s new Strategic Plan in booth 3310.
  42. In Hall A4, you’ll find the Rotary Resource Center where you can catch up on all that is new at Rotary! Rotary Staff will be on hand to help you no matter what your question. And right next to the Rotary Resource Center, you will find the 2020 Honolulu Promotion booth where you can learn about the city of Honolulu, register for the convention, and reserve your favorite Honolulu Hotel. Be sure to check the program book or the handy mobile app for the complete list of vendors and entertainment!
  43. We have a new feature this year – the Inspiration Lounge. Located in Hall B5, the Inspiration Lounge will be a comfortable space to experience the 2019 International Convention, including the Opening General Session. You’ll find different styles of seating- café, communal tables, lounge and theater. It’s designed to facilitate the most important feature of the convention to attendees: networking. This comfortable and interactive space will be a new way for you and your guests to experience the 2019 Convention Opening General Session. Attendees that opt in to the Inspiration Lounge for the Opening General session will receive a special giveaway and will also be eligible to win a $1 registration for you and one guest to the 2020 Rotary International Convention in Honolulu (must be present in the lounge to win)! Ready to be inspired? Log in to your existing registration now and select the Inspiration Lounge as your venue of choice for either the 1st or 2nd Opening General Session. The Lounge will also be open to all full conference attendees Monday – Wednesday, show live casts of our breakout sessions, engaging with breakout speakers after their sessions, book signings and more.

After you’ve arrived in Hamburg, you will want to have three essential resources: The first is the program book, and the second is the transportation guide, both of which will be available for pick up in Hall A2. And the third is the app, which Elizabeth showed you how to download and use on today’s webinar. Keep all three resources handy while you’re at the convention, and you’ll have all the information you need at your fingertips.
  45. In addition, you have some valuable resources all around you: The Sergeants-at-Arms are your team of seasoned convention experts! These Rotarian volunteers can be identified by their bright yellow vests. They can provide basic directions, general information and help find lost items. Sergeants can be found throughout the official convention venue.
  46. Complementing the Sergeants at Arms are Rotary staff members. More than 100 professionals from Rotary headquarters and our international offices will be at the convention to help. They can be easily identified by their blue Rotary shirts . Ask any Rotary staff member for help, or visit the Convention Office in Hall B-1 to get your questions answered.
