2. MY COMMUNICATION PLAN IN
ACTION:
• The approach that I will use to develop a proper communication plan for Southwest
medical will be a two week communication plan that will unfold in four phases before the
two week communication campaign beings.
– I will first conduct an analysis of the communication issues. This will allow change agents to
effectively understand what change phase they are in order to communicate this plan to
management. This will be presented in the scenario.
– After reviewing I will hold a company department meeting with all departments to receive issues
that are preventing the company from fully developing in all needed areas. This will create a
company culture, urgency and awareness of issue. This is where all departments understand that
their voice and job within in the organization is essential to it running effectively.
– The communication and training methods will be develop on a level that all employees will be
able to have access, understanding and the ability to communicate and respond.
3. DEVELOPMENT OF COMMUNICATION
• Communication is a necessary attribute of any organization, it allows the organization
to develop and grow; however some organizations have issues implementing their
communication plan because they do not know where to start or what to implement to
ensure that the communication plan is sufficient through all departments.
• Scenario: The renovation to the hospital wing causes the hospital to move into
temporary housing like mobile modular units like large trailers, as Richard have
mention. A section of the hospital had to temporary close down, this caused the staff
to display unacceptable behavior, more problems for the staff, patients and their
families. But mainly the behavior and job performance of the staff(C, 2016).
4. KLIEN SUGGEST THE FIRST 6 STEP
STEPS
• First analyze and develop the reason for
change by doing an evaluation of
current processes.
• Develop a proper list of what needs to
be implemented in communication and
decide how change agents will
affectively implement new plan within
the organization.
• After change agents have effectively
understood why change is needed, they
must develop the proper channel and
packaging to now implement change
plan.
• Develop communication campaign.

• First step will be to have a face to face
meeting with the management team.
• During this meeting reveal findings in
department communication
• Understand what will need to be
communicated for an effective outcome.
• Next develop the best channel to deliver
information to all employees within the
organization.
• Develop protocol to update needed and
frequent information as the plan is put
into place.
5. INCREASE AWARENESS FOR CHANG
COMMUNICATION BY:
AWARENESS
• After the analysis is complete it is
essential to now create awareness
within the organization by developing
a proper time line on how the change
process will be implemented and how
they will receive information.
PHASE 1
• After the initial meeting is conducted we will
conduct two forms of analysis to request
information.
• Will host a community team meeting in week
one. This will allow all departments to have a
say in how daily communication is being
effected
• A survey will then be submitted through the
employee data base to ensure that we have
as much participation as needed to start the
change needed in communication.
6. MEETING ANALYSIS

• Employees need a away to access all
information to adequately understand
how the new renovation will affect
them.
• In week one we have completed all
team meetings and have found that
employees dissatisfaction comes from
lack of communication and
information that is not easy to access
for daily responsibilities.
ACTION
• Develop company blog site that list and
updates weekly on new company
policies and procedures.
• A modular training has been developed
via YouTube to help employees have a
visual training that is easily accessible.
• Employees will need to complete this by
week two as we will begin developing
incremental measurements of
effectiveness through survey.
7. ADDRESSING NEGATIVE RESPONSES
• KEEP IT POSITIVE AND INTEACTIVE
• Make sure that you encourage all employees to participate by insisting their
importance to the change.
• Develop a happy medium with employees through negotiation. This will ensure that
their thoughts are heard and they are able to have their needs and concerns taken into
consideration. This will help the communication plan in regards to renovation and daily
responsibilities across departments.
• Cawsey (2012) Recommends that you make sure that all changes area within
compliance and are in direct correlation with the communication policy for change.
8. MEASUREMENT OF CAMPAIGN
EVALUATING PROGRESS
• First form of measurement is through the
change agent. The department will need
to have a select candidate that is able to
implement and measure plan success.
• A successful change agent must be able to
communicate management and effectively
communicate across all departments for
Southwest Medical.
• Make sure information is relevant to
change and dependable.
• Mid week of week one after the company
blog has been developed and the
company electronic bulletin boards have
been placed up, Southwest will want to
begin monitoring progress of outcome
9. EVALUATE EACH CHOSE METHOD
• Conduct incremental surveys of communication
• Develop a ten question questionnaire on how the new communication methods have
now increase understanding, how are they working and what other suggestions are
needed for productive to help develop change in daily responsibilities.
• Keep a policy that is “open door”, this will invite communication in from all
departments.
10. HOW MY COMMUNICATION PLAN WILL
HELP PRODUCE ORGANIZATIONAL
CHANGE PART 1:
• The effectiveness of this plan will be seen by its ability to affect change for the
organization and overall improvement of processes.
• It will create a community of unity in ability to help all employees within Southwest
medical to understand their roles and to have various ways of receiving and giving
information.
• This will also affect how leadership is involved in the development of change. They will
learn how to effectively communicate and operate with organization.

The first step to developing a communication plan according to Cawsey Et al. 2012. In developing communication you must first establish how important a communication plan is in the development of the organization and why. Some organizations do not have clear communication plans which result in low productivity within the organization due to lack of information on the right channels to use and how to effectively have everyone engaged in the process.
In this particular process with Southwest Medical Center, they have started a new renovation that has caused a shift in company performance and unacceptable behavior in departmental interaction. This is essential to the companies adjustment to the new change and is essential to making sure all employees understand how they are to adjust to this change. It is in this case essential to find the best action plan of communication plan to develop these changes on organizational functionality within their personal departments, how they interact with one another and how their behavior will affect the growth of the organization.
In developing a communication you must have the proper people in place to help affect and make change. According to Cawsey et al. 2012, change agents are essential in developing a communication plan. They must have the ability to communicate and relate in order to fully affect change. This will develop in steps of
“ Developing Why change, Develop a timeline that will help with motivation and understanding of how the task will be completed, and create a cultured environment that will allow opportunities”. As this plan is communicated to management it is essential to establish a rapport of trust and understanding with management as it will be needed to fully develop a good rapport with organization for effective change.
Change is needed to produce better employee performance and attitudes
Generate a source that provides all employees with the same information.
Each department during this meeting will review specified duties and how it will effect to communication within the organization and the overall performance.
This data will allow me to effectively develop a communication campaign. The communication campaign will take course of the next two weeks so that the organization has adequate time to ensure that proper information is delivered to all employees. Due to hectic work schedules over the next few weeks, employees will be able to access information through company blog and weekly team meetings to measure progress(Thomas Cawsey, 2012) .
The plan will be implemented over a two week period that will allow all employees to complete the training module during the communication plan implementation.
The company will need to consistently monitor this site to update accordingly. The company will also need to take advantage of electronic company bulletin boards for easy access within the facility of the change. This can be communicated to management an all departments. This will encourage each section to develop the information that they feel is needed for day to day operation. Management during the communication plan may be less reluctant to implement plan if they area able to understand the investment. During this process it is important for management as the communication campaign begins to create a small opportunities for celebration in performance(Thomas Cawsey, 2012).
In utilizing these sources we must ensure that all social websites and resources are developed with specific instructions as to how they can be used. In the department meeting you can set guidelines as to how Southwest Medical Employees will utilize these tools.
If employees see and know that they are needed, they are more likely to participate in the levels of change needed for success.
