Deputy Manager - Admin & Finance (August 2013 – Present)
Responsible for providing overall general and administrative support to the
team to facilitate the efficient operation of the office. Complete facilitating
the newly build Gurgaon office at DLF Cyber hub (Area- 10003 Sq. ft.) in
terms of administrative support & facility management.
Admin Profile Roles and Responsibility:
Facility Management: Monitoring and timely facilitating the
new joinees of organization in terms of allotting workstation,
telephone extension, access cards, SIM and data card, car parking
facility, etc. Ensuring proper space utilization, occupancy, floor
level allocation and make sure that all the departments are using
their defined or allocated area with all the required services in
place.
 Sole responsible for proper function of Office premises and
timely taking corrective maintenance requirement (civil, pest
control, plumbing, electrical) in critical areas like- server room
, UPS room, board room, video Conferencing, meeting rooms ,
cafeteria, breakout area, common areas, etc.
 Performance reviews of the Facility management operations.
Monitoring cost-effectiveness in housekeeping operations, as
well as overseeing the various aspects of cost-cutting.
 Sole responsible about planning, budgeting and accounting to
run an efficient cost center for Facility Management function.
Vendor Management: Identification & Selection of Vendor,
Sign-up with new vendors. Handled vendors effectively by
identifying needs.
 Ensuring to have the best possible service providers,
vendors on Tranzlease board to meet the service bench mark
and awarding them the PO/ LOI/ Service contract after the
proper due diligence.
 High End and Soft service concept finalization,
implementation and ensure sustainability of standard.
Security Management: Responsible for managing a team of
security personnel to ensure the protection of property, assets,
and people. Patrols building perimeter, sets up secure point of
entry, and investigates suspicious activity.
Travel Management: Managing and ensuring all domestic &
international travel of internal employees including visa, forex,
hotel booking and renting cars during their official tour.
Petty Cash Management: Sole responsible to track and monitor
proper use of Petty cash use with proper verifications.
Legal Responsibilitie: Outsourcing contracts for the
maintenance of office building, infrastructure, office equipment,
machinery and other assets of the organization as well as Asset
Management (IT & Non-IT) - Tracking, Issuance and disposal.
 Coordinated all the audits i.e. statutory and ISO
 Building and managing relations with various Govt.
officials and other bodies, mainly for C4 Forms, RTO papers,
Labour and FRRO work
Event Management: Managing and monitoring indoor and
outdoor events, meetings and conferences, events etc.
Data Center Roles and Responsibility: Quality Check and act
as a first person approver about releasing, and updating PO with
proper verification and efficiency for quick process of client order
process. Proper validation of Tax Invoice, Debit Note, and Credit
note updation .
Accounts team Support: Monitoring and ensuring of Monthly
invoice dispatching, MIS report sending to client for each monthly
cycle in North zone.
 Ensure and assist closely with accounts team for proper
financial closing (half yearly & yearly) such as vendors and
service provider’s bills, invoices on time given by our finance
department with proper verification and documentation.
 Helping the organization in Debt recovery and proper bank
reimbursement follow up as an additional task.
HR Support: Work closely with HR in scheduling Interview,
Employee’s joining and existing formalities.
IBM Daksh eService’s Private Limited, Kolkata, West Bengal
Senior Practitioner (Feb 2011 – Aug 2013).
UK based Banking process (Lloyds Banking Group, Bank of Scotland, and Halifax) deals with overdrawn personal a/c of customers, and also close their
overdrawn a/c as required.
 Responsible for auditing breach of client’s personal accounts and Closing overdrawn personal accounts.
 Core Member to manage accounts dis-balance due to any team member faults and quality of accounts post process.
 Act as a core member of Error detection and correction.
 Sole responsible for quality of Excess management Bangalore and Philippines team for their client’s corporate accounts
