A Couple of Things to Keep in Mind…

• Data Manager only available on certain tables & fields
– Encounter

• Batch Number

Data Manager
• Data Manager rule types:
– Calculation
– Assign a Field
– Assign a Value
– Date Difference
– Day of Week
– Assign Null

Example 1 – UB Revenue Codes
• Standardize UB Rev Codes into 4-digits with leading 0s
• Use External List function in PLA module with Data Manager
• If UB codes in extract match to an external list of codes,
add corresponding leading 0s
– If code is 1 digit, add 3 0s
– If code is 2 digits, add 2 0s
– If code is 3 digits, add 1 0
• 3 External Lists & List Groups
• Calculation type*

• Create 3 lists with different digit combinations
• Load them into External Lists

• Make sure to choose
the target field that
you want the list to
match to

• Click on Populate to look up lists
• Always test the file first before
loading

• Add new Rule Set in Data Manager
• Target field is the field you’re trying to make changes to

• Add Rule, enter in required info

• Edit Definition in Rule

• Choose Calculation

• Use both Rule

• Re-evaluate contracts and standardize Payor Codes/Financial
Classes for all facilities with different billing systems
• If Payor Plan Code matches to external list, assign corresponding
Payor code/Financial class to Payor Code field
– 7 types
– Keeping up with the list with help from Payor Relations
• User Defined Field to catch occasional new codes
– Assign original Financial Class
• Combination of Assign a Value & Assign a Field

Payor Relations re-evaluate individual contracts and manually input the
appropriate payor codes into the Payor Plan Codes table in PLA.

• Create text lists from Payor Plan Codes table
• Load the lists into appropriate External List, target field is Payor Plan Code
• Each External List will be its own List Group

• Add Rule Set
and Rules
• Use “Assign
Facilities” to set

Other Things that You Can Do…

Outcomes
• Easier reporting
– Reduced time in preparing reports with more availability of fields to decrease the
number of unnecessary steps
– Standardized reports for all facilities
• Eliminate dependence of Finance on IT for data changes
– No or shorter wait times

Lessons Learned & Things to Watch Out For
• Test, test, test!
– Always do a test run for the rule sets before applying it over the entire database
even if similar rule sets have been done before
• Certain fields are not available to manipulate
– Some of the date fields – e.g. Service Date field
• Order of Rule Sets really matters
– May need two or more summarization tasks in a job
– Look out for fields that depend on other fields/summarization tasks to be finalized
first
