Once upon a time, in a land not far away, a mystical kingdom called ‘Connect’ existed
The people of connect met, shared stores and information, all within their happy kingdom, and never strayed far outside its walls -
Mysterious travelers arrived – and shared with the people of Connect - wonderful tales of ways people shared information in other kingdoms
They were from the Kingdoms of Microsoft, What’s App, Slack and Salesforce, and even Facebook
The IT Team at Connect was very intrigued as to what they had heard, as was the Communications team too
Soon, all the citizens of Connect were talking about these new tools, and how easy they seemed
And, they asked IT – when can we have these?
The Kingdom of Connect knew they had a problem –
They wanted to keep their people happy
IT wanted to give the people what they wanted
And, the tools they were already using were not fit for purpose anymore
The Leadership, IT Team, and Communications team - gathered to discuss a solution
At Savills, our IT, Communication, Business and Leaders, were once content with our ‘all in one’ intranet – we thought we had all the answers
It was one set of software, one cost, no development, and no support needed
However – none of our people knew how powerful it was, or its capabilities, and many found it difficult to use
So – rewinding a bit – how we got to this point
Over the past 6 years, Savills has replaced 5 legacy SharePoint intranets – UK, Germany, Ireland, Australia, the US – all on different versions of Sharepoint
We have provided an intranet solution to 12 countries that previously didn’t have any intranet access at all
Now can reach 80% of our users
We also rolled out our intranet’s companion mobile app – reaching 25% of our users
Difficulty was – we didn’t anticipate that people didn’t know what an app was – or how to download it to their phones
There was also the misconception that using an app would ‘cost more’ to our phone bills – so some line managers were discouraging its use
Success? You would think that our programme was a success –
But, in the 6 years that we had launched – times had changed
Users wanted to use tech they used in our daily lives – and were – Shadow IT – such as What’s app, facebook,
And, our IT team was under pressure from Microsoft to roll out MS Teams to fulfill chat / collaboration, and take another look at SharePoint for document sharing
But, now we need to realise it is our people that are driving the technology we use – and the enterprise needs to respond
Enterprise solutions need to be much easier to use, and be like the tech our users use in their daily lives
And, do this in an ‘all in one intranet is proving less and less feasible
To ensure we are all aligned – we are working on a new road map
One that aligns to what our people want
The changes coming to Microsoft
Using the best of the tech they are already using, and exploring new best practice
We will continue to use Jive – our legacy ‘connect’ – for news, announcements and operational documents – on a global basis, accessible on desktop, laptop and mobile app
Along with our O365 launch we will launch MS Teams – moving some of the collaboration functions away from our current intranet; while benefiting from chat and calls
We are currently running a trial of Workplace – for our Property Management site staff – and it is proving extremely popular – it has rolled out to the UK and Europe – 80% of 2500 users downloaded it within the first 2 weeks of receiving the invite
We will roll out to our other divisions, if it is a success
We are keeping track of the new functionality in MS Office 365, including SharePoint and the new ‘Hubs’ to see what is available
And are continuing to track other products and their roadmaps, working more closely than ever with IT

The moral of the story:
Be flexible - don’t be tied to the tool - tools may come and go, and you will need to evolve
Work closely with IT – and give them as much feedback as possible – they are often keen on the ‘next big thing’ but it is your role to keep them in the know
Let your people lead your tools – they will only use what they want to use
