hoursa day.You can’t control time,butyoucan control yourself tomanage time effectively.Here are
three maintipsfor effective timemanagement:
1. List what to do
List all yourdailytasksina timesheetforthe pastfive workingdaysandsee where youspendmostof
the time on.Are youspendingmostof the time talkingonthe phone,checkinge-mail,havingmeeting
or chattingwithyour colleagues?Whenisyourpeakproductivityperiod?Differentpeoplecouldhave
differentproductivityhoursi.e. morning,twohoursbefore lunch, afternoonorevening.Thenyoucan
have a betterideaof where mostof your time spentonand whenyoucan focusto complete yourtasks.
2. Prioritize your tasks
In the eveningbefore youleave work, listdownafew maintasksinto-do-listfortomorrow.So,youcan
focuson them straightinthe newday’smorning.Prioritize yourtasksbasedonthe importance and
urgencyusingthe graph inthe nextpage:
2. High Urgency and High Importance: This is the most prioritized task and demand strong
focus to complete it.
High Urgencybut Low Importance: Thistask wouldenable youto delegate to relevant team
member.
Low Urgency and Low Importance: This taskwouldenable youtodelegate andletyourteam
members decide and own it.
High Important but Low Urgency: This is the most dangerous area which some people fall
into its trap if they do not manage their time well. Remember, if you leave the important
thingbecome urgent,then you have the tasks that are important and urgent every day; as a
result, you would be so stressful with your work. Hence, start focus or delegate the
important task before it become urgent.
3. What to do if you cannot finish your task on time
Of course,there are certain occasions which you cannot complete your tasks on time even though you
manage your time well given the multiple tasks and pressure you have. Then you need to inform your
stakeholderinadvance andsuggesta new timeframe.Be proactive anddonot waittill itisthe deadline,
or it is too late to inform your stakeholder or client. Most of the time, a problem is not a problem. But
how you manage your stakeholder’s problem is a problem.
