10. Solution : integrated INTRANET platform on SharePoint 2010 “ I can find it all in one place” “ Content I need is organized by tasks I need to complete them” “ I only need to learn [and support] one tool.” Note: Our proposed solution does NOT include any re-design work on the existing SharePoint team sites. These have been – and will continue to be- under the management of individual departments and site owners.
31. Intranet Creative Brief, cont. Desired behavioral change? 1. Feel like the GH intranet supports, not hinders work getting done. 2. Believe GH cares about staff enough to provide up to date tools 3. Enthusiasm about being part of the GH community. Voice? Image? “If the intranet was a persona, what would it be?” we were asked. “ Collaborative, energetic, helpful, engaging. inspired, and dressed in business casual,” we replied. [Also based on new GH brand goals from Lin + GH Brand Standards.]
Collaboration is providing employees with a place to interact with one another on company issues, develop a sense of community regardless of their geographic location, and work on important issues in real time.

per 2009 Gallup: only 33% of staff say they “have the materials an equipment to do their jobs”
-Execs don’t use intranets in same way as rest of staff Security/SIG: Secure from web browser but not granularity Not protected from host perspective open to everyone who has access to host Model after - people inadvertently get permissions ANYONE on our network can see everything on InContext (Kaiser, VM). If on SP, have to be logged into Windows domain + would have audit trails

Deliver a cohesive collaboration INTRANET platform on SharePoint 2010 that: • Captures enterprise information and team-based project documentation in one environment -> “I can find it all in one place” • Provides a unified and simplified user experience; -> “Content I need is organized by tasks I need to complete them,” and, • Reduces time, cost and effort to maintain it. -> “I only need to learn [and support] one tool.”

Most impressively, fully half of the winning intranets used SharePoint http://www.useit.com/alertbox/intranet_design_2009.html SharePoint was selected as the platform for its ease of use with our Microsoft office suite (Word, Excel, PowerPoint, etc), as well as the Content Management, Security/Permissions feature and the powerful workflow function. Many other large tech initiatives going on at GH at the same time – Ric was concerned about the additional burden on staff who would have to take on more work as a result.
Talk about investing in systems for best care – why are admin staff required to use a tool that is 15 years old? GH having to buy Up To Date b/c new docs were shocked we didn't have it. “ Employees want to work for progressive and innovative organizations, and expect 2.0 environments from employers of choice. So much so that a recent survey of 1,000 workers found that 39% of 18 to 24 year-old employees would consider leaving their employer if they were not allowed to access sites like Facebook and YouTube; a further 21% indicated that they would feel ‘annoyed’ by such a ban (Telindus study of 1,000 European employees).” http://www.thesocialworkplace.com/internal-communication/976/

Per the survey 42% of staff currently use SP. Of those who use it. We have it - no extra cost to purchase or license (as would be the case for Teamsite or any other 3rd party system). We have a team in place who already administer Sharepoint (MSS group) We've now seen/read about/watched demos for a large number of intranets on Sharepoint, including most of the Norman Neilson Intranet Design winners Sharepoint 2007 + 2010 both include robust collaboration, workflow, content management, etc features we know will meet our needs. Note, however, this means we need to be extra diligent about documenting our business requirements to identify what will work out of the box and were we will need developer resources for customization and integration into GHC systems. Web Services has a plan to migrate apps - including InContext, Staff Apps, and Staff Directory, off of Dynamo. The closer we can follow this schedule and have a plan/strategy for a new platform for the intranet, the better. Reducing the time to create the plan makes this more possible.
