4. PROJECT
A product that can be either component of
another item or an item in itself
Product
A service or a capability to perform a
service
Service
A result, such as an outcome or An
improvement in the existing product or
service lines.
Result/Improvement
A Project
Is a temporary endeavor undertaken to
Creates a unique product, service, or
result.
5. CATEGORY PROJECTS OPERATIONS
Definition A project is an temporary endeavor
Operations are ongoing execution of activities
which occur after product is made to produce
same result or a repetitive service.
Product Unique product is created..
Same product is produced to keep system
running.
Risk It has more risk as it is done for first time.
It has less risk as such products have already
been made before.
Focus Performance is primary focus of projects. Efficiency is primary focus.
Budget The budget is Defined for Projects.
The budget is not defined for Operations as the
earning needs to be done to keep operations
alive.
Example
Construction of a new building or road
Renovation of a building
Film making
Customer service and relationship
management, Procurement
6. The application of knowledge, skills, tools, and
techniques to project activities to meet the project
requirements.
Business Process Management.
PROJECT MANAGEMENT
various methods to discover, model, analyze, measure,
improve, optimize, and automate business processes
7. Project Management
Institute (PMI) is the leading
professional association for
project management, and
the authority for a growing
global community of millions
of project professionals and
individuals who use project
management skills.
PROJECT KNOWLEDGE AREAS
PMBOK – Project Management Body Of Knowledge
8. PROJECT CONSTRAINTS
SCOPE
“The scope constraint refers to not only what the project includes, but
also what is excluded”. In most cases, the scope of a project will refer to
the specific deliverables that have been agreed upon by key stakeholders
and must be delivered in order to close the project. Any deliverables that
were not included in the original plan are therefore out of scope.
TIME (SCHEDULE)
The project timeline will be important to the outcome, as failing to stay on
schedule could result in the failure of the project as a whole. Having a
well-defined project plan is one of the most crucial strategies for effective
time management.
COST (BUDGET)
Cost (or budget) is simply the amount of money that can be invested in a
particular activity to achieve the desired outcome. It is important to estimate
the costs associated with the project as accurately as possible before
the plan is set in motion.
Project constraint is a limiting factor that affects
the execution of a project, program, portfolio or a
process.
Six primary constraints in project Management
Scope, Time (Schedule), Cost (Budget), Quality,
Resources, and Risk.
Out of these the first three are considered as
triple constraints of project management.

10. SCOPE CREEP
Scope creep in project management refers to
changes, continuous or uncontrolled growth
in a project’s scope, at any point after the project
begins.
Proactively engaging with clients during the
project planning phase can help to understand
their exact requirements.
Changes are expected but How do you manage
scope/scope changes – CCB, CR
Stick to the initial plan (Approved Project
Document – BRD, FRD, Project Charter etc.)
Planning your resources and talent usages
accurately is also important
Clients who don’t precisely know what they want and have vague requirements are one of the biggest project management
challenges for both managers and the project team.
Major Challenges
CCB – Change Control Board, CR – Change Request, BRD – Business Requirement Document, FRD – Functional Requirement Document
11. EFFECTIVE COMMUNICATION
As a PM, 70-90% of your time you have
to provide to communicate with your
team members.
Comm. Channels: Zoom, Slack, Email,
Team Viewer, Video Conference, Skype,
Google Meet.
Regular Short Stand Up meetings
(Agile)
N.B: Communication should be effective –
Team should understand that your
emails/posts are important.
Lack of Effective Communication is one of the major challenges of Project Management. Miscommunication is also
dangerous for project teams because it affects their teamwork. It can cause conflicts among team members and can
potentially delay the project.
Major Challenges
12. DEFINATION OF DONE
Quality Criteria or Success Criteria should be defined.
Agreement in terms of when the project will be done,
when a milestone will be met.
What should be done in order to achieve a project
milestone.
Design Milestone – Only creating a PSD or getting
approval from key stakeholders.
Written documents or smart goals could be a solution.
There are issues, if you don’t have DOD, you might
think the project is done, but it might not meet the
expectations of project stakeholders.
When goals are fixed you have to be clearly share it
with your team members so that they know what they
have to achieve.
Lack of clear goals and success criteria. Clarity is one of the most important requirements for the successful completion
of the project and the lack of it creates several project management issues.
Major Challenges
13. BUDGETING ISSUES
This is related to Project Cost & Schedule
Management.
It is absolutely necessary to adopt a proper
project scheduling tool, budgeting procedure
and make realistic assumptions to avoid cost
overruns.
Take care of
What is the overall budget for your project
What is the kind of cost your project is
incurring
Adopt cost management tools or check
different parameters - SPI, CPI
Every costing should be documented with
strong monitoring
Most managers consider financial issues as one of the biggest hurdles in effective project
management.
Major Challenges
CPI - Cost Performance Index
SPI - Schedule Performance Index
14. TEAM SKILLS
Inadequate Team members might not be able to
deliver things in time.
Are your team members trained enough, proper
knowledge of technology do they have?
Understanding training requirements – Like
insurance company provide LOMA, Standard
Certification, Foreign Training
Need to talk with your team members often do
they need any soft skill training
Knowledge sharing environment – Weekly two
sessions can be conducted, sprint
retrospective, key learning point (KLP)
Inadequate skills of team members. As a project manager, you can create the most ideal environment but if the team
does not possess the necessary skills to tackle the problem at hand, your project is bound to fail.
Major Challenges
15. RISK MANAGEMENT
Having the foresight to identify potential ‘what if’ scenarios
and making up contingency plans is an important aspect of
project management.
Have you gone over all the what-if scenario, all the
possible things that could go wrong?
Do you have all mitigation plans?
As a PM you should have the foresight to see what is
going to happen in the project, what possible could go
wrong, use your past experience from previous projects
Should have proper contingency plan
Inadequate risk management. Projects rarely go exactly as planned because there are so many
variables that can create unlimited possibilities.
Major Challenges
16. LACK OF ACCOUNTABILITY
Effective project managers assign
responsibilities to team members and
direct the team toward the common
goal of successfully completing their
project.
As a PM you have to assign task but
also have to ensure that team
members are taking ownership of the
project
Proper use of project management
tool for clear visibility
A project team performs really well when every member feels responsible and tries to fulfill the role
assigned to them. Lack of accountability on the part of team members can sink an entire project.
Major Challenges
17. STAKEHOLDER ENGAGEMENT
Limited stakeholder engagement is a
recipe for disasters
Stakeholder matrix is important – mark
positive, negative stakeholder
Engage stakeholder from the very
beginning and take their feedback before
completing a milestone
Ensure that stakeholders are engaged
and not seating idly, ask for necessary
meetings
The limited engagement of stakeholders.
Major Challenges
18. UNREALISTIC DEADLINES
Promising the moon in 02 weeks. Ex - Land Acquisition
within a month.
As a PM you should know what is your team’s capability
You should be able to negotiate about project timeline
Check the velocity on kabana board (Agile Approach)
You can also cross check with your previous
project/experience
No matter what your key stakeholders ask/push for a
things to do you have to be realistic and raise your voice.
Having an impossible deadline is another project management challenge that can severely
affect the quality of the end product
Major Challenges
