12. Gathering Background Info Concept: How does proposed project align with organizational mission and what is the actual need for project? Collect background organizational info and document need to be addressed through project. Program: The nature of project and how it will be conducted Timetable for project Anticipated project outcomes and how to best evaluate these Staffing and volunteer needs Expenses: Sketch out expected project expenses to ensure that it is feasible. 14. Executive Summary Usually limited to one page, this should briefly describe: The problem you are addressing. Your overall program goal, expected outcomes and program plan to address the problem. Briefly highlight your organizational and staff qualifications for the program. Your financial request from the funder. 19. Needs Statement The following represents five basic needs assessment approaches: 1. Key Informant – testimony from people who know the problem 2. Community Forum 3. Case Studies – example of clients in the population in need 4. Social Indicators – data which establishes the need 5. 20. Program Description This section should have five subsections: objectives, methods, staffing/administration, evaluation, and sustainability (5-7 pages). Objectivesare the measurable outcomes of the program. They define your methods. Your objectives must be specific, concrete, measurable, and achievable in a specified time period. Goals are more conceptual/abstract in nature. Example: Goal: Our after-school program will help children read better. Objective: Our after-school remedial education program will assist 50 children in improving their reading scores by one grade level as demonstrated by standardized reading tests administered after participating in the program for six months. 8/24/10 Global Kids - Grant Proposals: Enhancing Your Program with Small Grants 10
21. Objectives Four types of objectives: Behavioral - A human action is anticipated. Ex. 50 of the 70 youth participating in POC will develop public speaking/presentation skills. Performance - A specific time frame within which a behavior will occur, at an expected proficiency level, is expected. Ex. 50 of the 70 youth will develop public speaking skills within 6 months, and will facilitate a workshop for a group of peers. Process - The manner in which something occurs is an end in itself. Ex. We will document the teaching methods used, identifying those with the greatest success. 4. Product - A tangible item results. Ex. 22. Methods Describe the specific activities/services that will take place to achieve objectives. What activities/services will be provided? Who will receive the services? Who will provide the services? When will the services be provided? Why are you conducting these particular activities, using chosen methods? Where will services be provided? 23. Staffing Discuss the number of staff, their qualifications, and specific assignments. Describe which staff will work FT/PT. Identify staff already employed at organization and those to be recruited. Describe plans for administering the project. 24. Evaluation This section must clearly describe: 1. How you will measure the effectiveness of the program. 2. How data will be collected. 3. Who will analyze it. 4. How and to whom will the results be reported. 25. Evaluation Most sound evaluation plans include both qualitative and quantitative data. Present your plan for how the evaluation and its results will be reported and the audience to which it will be directed. Ex. 26. Sustainability Demonstrate in very concrete ways the long-term financial viability of the project to be funded and of the nonprofit organization itself. Funders will want you to prove either that: your project is finite (with start-up and ending dates); or that it is capacity-building (it will contribute to the future self-sufficiency of your agency and/or enable it to expand services that might generate revenue); or that it will attract other funders. 8/24/10 Global Kids - Grant Proposals: Enhancing Your Program with Small Grants 16
27. Budget Expenses: This section identifies all costs associated with your program. Identify and support all components of your program including personnel and non-personnel costs. Revenue: This section identifies all sources of financial support for your program. You should reflect all sources (if applicable) including other grants from governmental funders and foundations, fund raising, program fees, in-kind donations (personnel and other). Your total program revenues should add up to your total program expenses. 29. Organizational Experience History - when organization came into existence Mission statement - show how the subject of the proposal fits within or extends the mission. Organizational structure, programs, leadership, and special expertise. Size of the board, composition, their level of participation. (Full board list should be attached.) Provide details on the staff, including the numbers of full and part-time staff, and their levels of expertise. Describe the audience you serve, any special or unusual needs they face, and why they rely on the organization. 30. Conclusion Every proposal should have a concluding paragraph or two. This is a good place to call attention to the future, after the grant is completed. If appropriate, you should outline some of the follow-up activities that might be undertaken to begin to prepare your funder for your next request. Make a final appeal for your project. Briefly reiterate what organization wants to do and why it is important. 32. What Happens Next? Grant review procedures vary widely, and the decision-making process can take anywhere from a few weeks to six months or more. During the review process, the funder may ask for additional information either directly from you or from professional references. If your hard work results in a grant, acknowledge the funder's support with a letter of thanks.
