5. Company Policies regarding our technology can be found on the Hallportal.
As a new employee, we expect everyone to read and abide by the IT End User Security
Policy. This includes, but is not limited to:
• Computer usage
• Electronic Privacy
• Software Installs
• Web usage
• Proprietary technologies
• Copying, reproducing, or redistributing company related material
• Email usage
• Understanding and being aware of Virus and Spyware threats
• Cell Phone Usage and policies
• Guest Access to company offices, networks, and technology
• Remote Access (VPN)
6. Crown Media Networks uses the Shoretel Phone System throughout our organization.
This means that you can easily contact any member of the company directly through
their 4 digit extension. Please avoid calling Crown offices using full 10 digit number as
we will incur long distance charges.
In addition, Shoretel works directly with your computer to provide you a seamless
application which shows your voicemail, your call history, your incoming and outgoing
calls as well as imports your contacts from Outlook for easy dialing.
A member of our IT Staff will give you a brief tutorial on how the software works during
your IT orientation.
Specialized setups (like having your extension follow you wherever you are) and
conference bridges are also available with this phone system. Please ask an IT
member for assistance.
7. When you arrive at your desk you can begin by logging on to
your workstation by pressing Ctrl, Alt Delete keys on the
keyboard.
IT will provide you with a username and password. Your
username will be your first initial followed by your last name.
The password will be given to you at your orientation with an
IT member.
When you login for the first time, you will be prompted to
change your password. The minimum length of the password
will be six (6) characters and you will be required to change
your password every sixty (60) days. Your password must
also include uppercase, lowercase, and numeric
characters. Example Password1
8. • Access to the Internet via the Crown network is for the purpose of
conducting official business only and is subject to monitoring.
• Crown Media Networks employs a web content filtering appliance that
blocks all unwarranted, inappropriate, or otherwise offensive content.
Please review the IT Security Policy for more information.
• The IT department maintains a list of approved applications for the
use on our computer systems. Please do not attempt to install any
application on your computer without first checking with IT to make
sure it is approved for use. All prohibited software will be removed.
• Spyware and Anti-Virus programs are installed on your computer to
protect both you and the network from attack. Please do not alter or
change the settings of this software.
9. The hallportal is our intranet. It is the default home page on your computer and cannot be
changed.
The hallportal is a useful tool to find relevant and up to date announcements within our
company. You can also find sections that cover the following topics:
• Human Resource forms, policies, benefit information etc
• Administrative forms and instructions (ex. how to order business cards)
• IT related policies and forms
• Free online based computer training
• Upcoming events within the company
• Printable employee directory
• Signature graphics and current templates for email and letters.
10. • Crown Media Networks uses Outlook 2010 as its standard mail client. Within
outlook, you will be able to find all employees as well as distribution lists to various
departments and teams. Please note that certain distribution lists require
permission to send. Please contact IT for further details
• Mimosa is our Email Archiving tool. Every email you send or receive is
automatically stored in Mimosa for future access. Therefore every Friday, your
mailbox will clear out email older than 45 days for you. This will keep you below
the quota and provide you with a faster email experience. A member of IT will
show you briefly how to use Mimosa.
• Postini is our spam filter. It automatically parses emails as they come into the
company to make sure they are not a threat. It is not 100% accurate. If you are
receiving a unusually large amount of spam, please contact IT for assistance. You
will receive a daily report that highlights any email caught by Postini.
• Email can also be accessed remotely. Please see the Remote Access Slide below.
11. You can access your email when you are out of the office by going to any computer with
an internet connection and typing:
• http://nyportal.hallmarkchannel.com for Chicago, Atlanta or New York Users
• http://laportal.hallmarkchannel.com for Los Angeles and Denver Users
To use Outlook Web Access type in the web address in the address bar of your internet
browser and enter in your standard user ID and password you use to login to your
computer. If you are using a Macintosh at home, please see the bottom of the portal for
instructions on how to access email using a Mac.
Also note, these sites act as failover for each other. If you are having problems with
one, please try the other.
12. Crown Media Networks uses network drives for all public, private, and department level
drive shares. Please refrain from storing files on your local computer as they will not be
backed up and are subject to loss if your computer crashes. IT will show you where
your drives are located on your computer. Please discuss with your department the
filing structure they use to store and access files within the department.
• The S-Drive is to be used as a shared drive that the entire office can use to share
files between different departments. It is public and can be accessed by any
employee in the company. It is also regularly scanned and cleaned out as it
becomes full. Please do not use this as a permanent storage location.
• The U-Drive is for sharing documents between users within your department only.
• The P-Drive is your personal drive or private drive. No one can access this drive
but you.
13. Crown Media Networks has Canon Color Multi Function Devices in all of our main
locations as well as a number of smaller HP Network Printers. They can be found
around your work area. Please ask IT or a neighbor for the closest printer to you.
Please note that all Canon Devices are set to copy and print by default in black and
white. Please refer to your printer driver or the display on the copy machine to change
the printer to color if you require that. All HP printers are black and white.
Scanning can be done at any Canon. Copiers are preloaded with Crown Media
Networks Address book for all employees. You can easily find your name in the list by
following the simple instructions on the display and your scan will be located in your P
Drive under your Scans Folder.
Faxing is done through a virtual application that we use called Ring Central. All
departments have a ring central fax line. Paper fax machines are
located at certain Canon copiers in the buildings. Please ask IT
or a neighbor for the closet fax machine or to setup Ring Central
for you.
14. Crown Media Networks IT operates a staffed help desk during normal business hours and a
on-call/emergency phone after hours. If you require technical assistance, please follow these
steps:
1. Please email servicedesk@crownmedia.com -- this will automatically open a work order
for you and load it into our ticket queue. Someone from the IT support staff will call you
back as soon as possible depending on the urgency if the request.
2. Please try to avoid emailing a member of IT directly about technical problems. By
emailing the helpdesk, you are ensuring that a WO is created and is receiving the most
visibility possible.
3. If the request is urgent, we encourage you to open a ticket AND call the help desk at
x2500. Please let them know your request is urgent and we will help you immediately.
Note that urgent requests are subject to further understanding and prioritization in the
queue. We will attempt to handle all issues as soon as possible.
4. Please save your work early and often. We regularly receive requests that files are lost or
corrupted due to lack of saving your work. That can be avoided by saving your work.
5. No problem is too simple or silly. We are here to help you!
