COMMENTS AND SUGGESTIONS ON THE TERMS OF REFERENCE AND
SERVICES TO BE PROVIDED
I hereby propose to design, host, and maintain an effective fully functional and
interactive website for my client that will act as a platform for marketing and
promoting their products and services. The proposed website will have a catalogue
module to feature the various products that the company produces.
Nichewebcreation.co.ke will make use of meaningful graphic materials, colour scheme,
font types and content layout so that the proposed websites will be visually
appealing, polished and professional.
I propose to develop the said website on a robust and flexible content
management system that allows for intuitive content publishing and management.
The content management system will be search engine friendly and optimized for
better performance.
The objective of developing this website is primarily to provide information about
the company, their location and contact information as well as a showcasing their
catalogue of goods.
Website Development Process
Nichewebcreation.co.ke will initially develop a flowchart based on corporate and
marketing information provided by company to determine the most effective
navigational structure to appropriate for this website. Nichewebcreation.co.ke will
provide the client with mock-up design concepts that will form the blue prints for
the finished products.
The client will be expected to:
• Provide any relevant materials such as text, graphics, logos that can be used
in the design and development of the proposed 15 websites.
• Provide timely feedback on each step identified in the development plan.

Using an approved graphic theme and a consistent navigation format, we will create
a dynamic, interactive and easy to navigate.
Features
The proposed websites will be responsive and will not only be optimized for
desktop computers, laptops but also optimized to be viewed across a wide range of
handheld devices, such as smart phones, notepads, and tablets.
The websites will include the following features:
 Image gallery
 Social media integration such as facebook and twitter.
 Search mechanisms that will allow users to filter data and identify specific
information on the site.

Functionality
Site Navigation
The front-end design of the website will be easily applied to the entire site and will
assist in the overall navigation and usability of the site. The page design will
incorporate a consistent set of navigational tools, menu bars and quick links for
accessing the different parts of the site quickly. The developers follow a "Two
Click" rule in the development of websites. This rule allows a visitor to generally
get anywhere in the site, from anywhere, with just two clicks of the mouse.
Secure back-end access will be accomplished through a login process. All pages
within the secure area will be locked to authorize usage.
Forms
Various forms (contact. feedback, enquiry, and newsletter) on the proposed
websites will increase user interaction and are a means of collecting valuable
marketing information. Forms can be developed for collecting visitor information,
i.e. feedback concerning the website and information requests.
Forms can be incorporated easily and effectively into the design and structure of the
site. The information gathered could be directly sent to a database or to a

designated e-mail address. The database can then be used subsequently to access

Tracking and Generating Usage Reports
Determine which areas of the site are visited most often, how long people stay on
each page, how many different pages they look at, how many hits and unique hits
occur daily, weekly or monthly. This will be easily achieved by integrating Google
analytics
Hosting and Maintenance
Nichewebcreation.co.ke will host the proposed website on secure and reliable servers
with 99.9% uptime, generous amounts of disk storage, data transfer, FTP accounts,
email-boxes, sub-domains, and database.
Since the proposed website is marketing tools 24 hours a day, 7 days a week, we
will provide regular back-ups and updates to keep all the websites up-to-date and
secure.
Proposed Work Plan
Stage 1 – Concept Development
Deliverable: signed agreement to proceed with development
Stage 2 – Planning
Project Definition Meeting with the client to determine precise details concerning the scope
of the project and develop an accurate and detailed timeline outlining the development and
delivery of the project, including deliverables for the developer, and the client.
Deliverable: Information provided by the client, includes and is not limited to relevant
promotional/corporate material, research and background information.
Nichewebcreation.co.ke will determine a precise project specification for the entire website
and present it to the client for approval.
Stage 3 – Implementation
I will provide a complete list of all required content, which needs to be provided by the
client.
I will begin preliminary design work and present mock-up designs for review and approval
by the client. The client can approve one of the mock-up designs straight away or provide
feedback for revisions and adjustments.
The client is expected to provide any relevant graphics and content such as pictures, text,
contacts, logos etc.

It is during this stage where I will deliver a complete website solution for approval in order to
begin the testing phase.
Stage 4 – Testing
I will test all aspects of the project, including Quality Assurance testing for functionality,
spelling and grammatical errors, consistency of graphics, and technical specifications.
During this time, the client may request some revisions and tweaking.
Stage 5 – Launch and Phase Out
The website will be posted live on the server and any final testing and tweaking will be
completed.
Work Plan Overview
This plan presents an overview of the work plan above in the development of the proposed
website. The proposed work plan is divided into five stages: Concept Development,
Planning, Implementation, Testing and Launch & Phase Out.

5. Project Definition
Meeting
Meeting between key players to agree on exactly what will
be included in each website and how it is presented, on a
detailed section-by-section basis. Implementation begins
after this meeting. Please Note: After the client has
signed off on the creative and structural definitions, any
changes may affect the timeline and/or the budget of
the project.
6. Project Specification Developer completes specific written description of
project as defined in Project Definition Meeting. The
Client approves Product Specification. Changes after this
date require Change Order Form and may incur additional
charges.
Stage 3 – Implementation
Step Description
7. Content Acquisition The client supplies digital data and other content sources.
8. Data Integration I will convert and integrate all data content into a website.
9. Customization I will create unique graphics and screens (pages) for the
website. Custom programming begins.
10. Server Set-Up I will set up the domain and hosting accounts for all the 15
websites.
Stage 4 – Testing

I will commence internal testing of application functionality.
Bugs are systematically reported and fixed.
12. Beta Testing (Staging) I will validate the content and finalize live project with review
by the client . Client reports any bugs, signs off fixes, and
approves site for launch.

Stage 5 – Launch and Phase Out
