Course ID 1184 12 History In August 2007 during its Annual Conference, the Chancellor of Higher Colleges of Technology presented the challenge to HCT management to come up with standard Key Performance Indicators (KPIs) so that the performance of the institution of 17 geographically dispersed campuses can be measured. The management at Higher Colleges came up with more than 15 KPIs for monitoring its performance in the areas of Student, Human Resources, and Finance. The project was completed from inception until go live within 5 months.
13. Course ID 1184 13 Presentation Overview After analyzing the whole system, HCT management came up with more than 15 Key Performance Indicators related to all major areas of HCT. We have around 9 KPI’s related to Student System. Dashboards which show a comparison of the KPI for the last 3 years are made available for management to compare the KPI status. From this presentation attendees will be able to learn what are HCT KPI’s and the formulas used to calculate the KPI’s and a little bit about Business Intelligence suit which helped HCT to demonstrate the KPI’s in the form of dashboards and drillable reports for HCT staff and management.

Identification of Student KPIs HCT Student System goes through a life cycle which combines all these important performance indicators: Admitting a Student Enrolling a Student Registering a Student Assessment of the Student GPA calculation of the Student Graduation of the Student Progression and Retention of the Student Based on this life cycle HCT management identified Student system related KPI’s which will help to monitor the student system as such at all points of the Student lifecycle in HCT and we are proud to say HCT management excelled in their efforts in this. Student System KPI’s After identifying the KPI’s, next challenge for HCT Management was to find out a platform which best demonstrates these KPI’s and enables users to compare the KPI’s performance over years. After a wide search for the best solution to cater HCT requirements , HCT finally decided to use Business Intelligence. In order to explore and utilize the solution to the maximum, HCT established a contract with one of the leading consultants for Business Intelligence, WIPRO for Business Objects , the most widely used BI tool. Business Objects Some of the features of Business Objects that made HCT think suitable for its requirements are: Integration with Share point Portal Extend insight from Business Intelligence to people inside and outside the organization by taking advantage of Business Objects Enterprise flexible, scalable and service-oriented architecture. Enable IT to be proactive and participate to business changes by delivering the most extensive set of Business Intelligence tools on a single platform. Facilitate integration with existing IT infrastructure by accessing virtually any data source and aggregating all Business Intelligence under a single umbrella – the semantic layer. HCT Student System KPI’s The key performance indicators identified in HCT belong to four main categories: Admission, Enrollment , Graduation Assessment Progression, Retention Resources Using Business Objects, HCT management, administration and faculty can now track the performance at the level of students, semesters, academic divisions, colleges and even the entire institution. Some of the performance indicators available in HCT Business Intelligence solution related to Student System now include Admission Yield rate, Enrolment Target Rate, On time Graduation Rate, Pass Rate, Average Term GPA, Progression Rate, Retention Rate, Average Section Size and Student to Staff Ratio. 24. HCT Corporate Dashboard HCT Corporate dashboard presents 3 main modules namely HR, Finance and Student. Each module has its own dashboards with KPI’s and reports associated with it. Student Module comprise of 4 main sub dashboards namely Admission, Enrollment, Graduation Assessment Progression – Retention Resources HCT Dashboard shows some measures also like Status, Actual Value, Target, Variance, % Change and Trend for each of the KPI ‘s. Dashboard Measures Dashboard measures displayed are: Status: shows red if the actual KPI rate for the 3 years displayed on the dashboard is less than the Target rate set by HCT, else it shows green. Actual: shows the actual KPI rate for the maximum academic year displayed on the dashboard. Target: is the benchmark value set by HCT to achieve as the target for the KPI. Variance: shows the variation in rate between the actual and target set values % Change: It denotes the change in rate between minimum academic year and maximum academic year shown on the dashboard for the KPI. Trend: shows whether the KPI rate is increasing or decreasing over the 3 years shown on the dashboard. (If decreasing it will show a down arrow in red and if increasing over the years then it will show a green up arrow). Course ID 1184 25

29. Admission Yield Rate KPI This KPI displays the Admission Yield Rate of students in HCT credentialed programs over 3 years including current year and past 2 years. The KPI can be analyzed across Year, Semester, Campus, Division and Program dimensions. The admission yield target rate is set at 70% by HCT Management. The admission yield rate is calculated as follows: [Number of students Enrolled / Number of students offered a place in HCT] * 100 Course ID 1184 29

Admission Yield Rate KPI Dashboard measures displayed are: Status: shows red if the actual admission yield rate for the 3 years displayed on the dashboard is less than the Target admission yield rate set by HCT, else it shows green. Actual: shows the actual admission yield rate for the maximum academic year displayed on the dashboard. Target: is the benchmark value set by HCT to achieve as the target for Admission Yield Rate. Variance: shows the variation in rate between the actual and target set values (for e.g.: 53.74% (actual) - 70% (target) = -16.26%) % Change: It denotes the change in rate between minimum academic year and maximum academic year shown on the dashboard. Trend: shows whether the admission yield rate is increasing or decreasing over the 3 years shown on the dashboard. (If decreasing it will show a down arrow in red and if increasing over the years then it will show a green up arrow). Course ID 1184 31
32. Enrollment Target KPI This KPI displays the Enrollment Rate of students over 3 years including current year and past 2 years. The KPI can be analyzed further by Campus also. The Enrollment Target rate is set at 85% by HCT management. Enrollment Quota for each year for all campuses are set by HCT Budget and Finance Department. The enrollment rate is calculated as follows: [Number of students Enrolled / Total Enrollment Quota] * 100 An Enrollment Count Report is also presented for users to compare the teaching day enrolled counts. 34. On Time Graduation Rate KPI This KPI displays the On Time Graduation Rate attained within the minimum program duration over 3 years including current graduation year and past 2 years. On-Time Graduation Rate within the Minimum Program Duration target is set as 70% by HCT management. Formula used to calculate On-Time Graduation Rate within the minimum program duration is: The KPI is drillable from Year to Semester, Campus, and Credential and Division dimensions. A Graduation Count Report is also available which shows the Credential Graduate Count for all campuses, credentials and academic divisions. Course ID 1184 34

40. Average Term GPA KPI This KPI displays the Average Term Grade Point Average of students over 3 years including the current year and past 2 years. Average Term GPA target is set as 3 by HCT management. Formula used to calculate Average Term Grade Point Average is: The KPI is drillable from Year to Semester, Campus, Credential and Division dimensions. 44. Progression Rate KPI This KPI displays the progression rate of students in HCT credentialed programs over 3 years including the current year and past 2 years. The KPI is analyzed across academic years. The progression target rate is set at 70% by HCT management. Formula for HCT progression rate, year to year is The progression rate displayed is based on the 20th teaching day each semester. To calculate progression rate for academic year 2007, 2006 is selected as the base year and 2007 as the target year. The graduate count of 2006 and not enrolled in 2007 are excluded from the progression rate calculation. Course ID 1184 44
46. Retention Rate KPI This KPI displays the Retention Rate of students in HCT credentialed programs over 3 years including current year and past 2 years. The KPI can be analyzed across Year, Semester, Campus, Credential, Division and Program dimensions. The retention target rate is set at 70% by HCT management. Formula for HCT retention rate, year to year: For calculating Retention Rate for Academic Year 2007, 2006 is taken as the base year and 2007 as the target year and Graduate Count is graduates in 2007 who are not enrolled in 2007.
