This document provides a summary of an administrator's guide for an online classroom system. Introduction to this document
I wrote this administrator’s guide for an online classroom that my company created. The
purpose of this guide was to provide instructions on how to create classroom sessions, and
manage instructors and students.
The following sample document includes the complete Table of Contents from the original
document, to illustrate the level of detail the guide contained. Next, I included the Overview
section so the reader becomes familiar with the Online Classroom functionality. I then provide a
sample of one section so the reader can become familiar with my writing style. All references to
proprietary information have been removed.

Overview
Welcome to the world of real-time, online training and education. The Online Classroom
provides an easy-to-use interface with a powerful set of tools allowing you to interact with your
audience in real-time over the web, anytime and anywhere. As an administrator, you will see
that setting up online sessions is a snap. You are extending your reach in ways never before
possible, and the Online Classroom Team wishes you success in your endeavor.
The starting point for administering the Online Classroom is your Administration Home Page.
You have been provided with a private URL, ID and password. You may choose to have one
person administer the classroom, or if you wish, distribute the ID to your instructors so they can
schedule their own sessions. It’s up to you.
There are a few basic rules to keep in mind as you read through this manual:
 You must add at least one instructor to your database before you can schedule sessions
 The Lesson List Manager is tied to the instructor – whenever an instructor enters a
classroom, his/her Lesson List is automatically loaded. This is why it’s important for the
Instructor to login with his/her assigned UserID – otherwise the Lesson List won’t load.
 The only way to access a dynamic classroom is to first schedule a session. We suggest
you setup a “test session” for your instructors to use for loading and testing their
content.
 Classrooms do not automatically delete after their end-time – this must be done
manually. You should periodically go into “View Schedule” and delete your expired
sessions.

Managing Sessions
When you schedule a session, a unique URL and password are generated, which is sent by an
automated e-mail to both the student and instructor (see the Appendix for examples of these
e-mails). The Instructor and Student use the URL to access their classroom, then type in their
UserID and password. The URL and password are only valid for the date and time the session is
scheduled. If people try to access the URL before the scheduled time, they will receive an error
message.
The process for scheduling a session is to first create a session, then add students to the
session. Remember, you must have added at least one instructor before you can schedule a
session.
Create a Session
1. On the Main Admin page, click Schedule a Session.
You will see the form to the right.
2. Fill out the fields as follows:
 Session Name. Type in the name you want
students and instructors to see when they
receive their notification emails.
 Short Description of the Session. Enter a brief
description if desired. This will be displayed in
View Schedule.
 Number of Sessions. Enter the number of
sessions. If it is a single session, enter 1. If it is a
recurring session, enter the total number.
 Room. If you have more than one Classroom to use, you will see a drop-down list.
Highlight the Classroom number you want.
 Instructor. You will see a drop-down list of all your instructors. Highlight one or more
instructors assigned to this session (hold the CTRL key to select multiple instructors).
 Classroom interface: If you have access to both the large and small Classroom
interfaces, you will see a drop-down list. Select the appropriate interface for your needs.
 The large interface supports a large audience with various moderator features.
 The short interface is designed for small audiences (from 1-5 is recommended) and
does not have moderator features.
3. If you made any errors, you can correct them before clicking Continue. Click Reset to erase
all entries.
4. Click Continue to go to the next page.

5. On the next page, enter the dates and
times for the session(s). There is a
pop-up calendar to assist you in
determining the correct dates.
6. When finished, click Finish. The
session is scheduled and an auto-email
is sent to the instructor(s) with the
dates, times, URL and password. See
the Appendix for an example.
View/Delete Session
The View Schedule page allows you
to view and delete your scheduled
sessions, add students, and edit or
delete instructors.
1. From the Admin Home Page, click
View Schedule. You will see a list
of all your scheduled sessions.
2. To delete a session, check the session(s) you wish to delete and click Delete.
