Section 1: (SharePoint Designer)Say we have a custom developed soltution which access my contacts info from my Adventure Works DB Show them the data within SQL 2008 Give them a brief Overview of Sharpeoint Designer: allows me to edit a site without having to be a coder / power user toolShow them that you're selecting the site with SP Designer Open SharePoint Designer - Notify them of the ease of use to access and view external data Highlight the ability to easily create commands to update/delete info Section 2: SharePoint SiteBecause I've added it to the SP site from SP Designer it automatically adds it to my site I've pre-created the permissions to allow me to view it Now I will edit the value and it will update the External database This information will then be updated as well in the external system, be it web based SQL backend a CRM system or a standard Now that I have this info available in SharePoint it is open to a host of other SharePoint features:Search The great thing about this is that without a scary developer poking around we've managed to create a connection to an external data source through a familiar user experience and actually manipulate that data.
We accomplish suite integration four ways: Technical architecture: MOSS 2007 has been architected in such a way that each ECM component leverages a common set of services. WSS provides a common framework for document management and collaboration, as well as a single repository for storing documents of all types, including Web pages and forms. Moreover, these components are designed to work together, to be flexible, and to interoperate with other services (such as collaboration, business intelligence, search) and technologies (such as LOB systems).User experience: There are many manifestations of the integration among the components of Microsoft’s ECM solution. Users work within a common UI utilizing the same tools and workflow engine whether they’re completing a DM, WCM or RM task. As a result, end users have a consistent experience making it easier for them to participate in a broader set of ECM activities. To support RM as a natural extension of DM, there are two primary ways for documents to become records. Users can manually send documents/content to a records vault. In this scenario, if the document was a predefined content type, all retention, expiration policies and workflows associated with that document would transfer to the records center. To make it even more transparent to end users, customers can use the workflow engine to build predefined workflows where documents that have completed an approval cycle are automatically transferred to the records vault. IT administration: SharePoint has a centralized user interface for administration. The UI is consistent across all capabilities (e.g., WCM admin and Records Management admin) simplifying administration and reducing the need for extensive training.Interoperability: Many customers will have multiple ECM solutions. Interoperability between these systems and underlying repositories are necessary to create an integrated solution. MOSS 2007 has web services enabling other ECM vendors to integrate with MOSS. If the vendor utilizes a web services framework, MOSS can consume their web services as well.
Section 3: (SharePoint Workspace) Now how do we take this data offline and access it from a non connected environment SharePoint Workspace allows us to easily do this - (as well as Outlook) Once again this is the advantage of having your information within SharePoint is that it allows you to interact with it from multiple platforms and Office technologies Go to the browser and click Sync to SharePoint workspace This will then launch SharePoint Workspace and prompt me to review which items I'd like to take offline From SharePoint Workspace, because it uses SharePoint as the go between for the data I am now able to edit documentation offline at home and when I'm back in the office it will now resynch my changes directly to the datasource - with the correct permissions of course(on that note there is 2 step authentication model which is required to be set up the first being authentication from the data provider as we saw earlier from SP Designer and the second from SharePoint)Section 4: (SharePoint Document Library/Word Document)One of the advantages of working with SharePoint is the ability to insert data into pre-created template documents accessed either from a SharePoint document libraryI’ve pre-created a document library over here which has the ability to access data from my created connection created in the previous demoI’m not going to get too technical but would just like to show you where the ability to add data columns exists - Within the settings (Not too scary ;-P )Moving along I’m going to where my template for SP exists – as possibly a library administrator I’m able to limit increase or choose what data I’ d like to exist in the template. As you can see there are 3 levels of data insertion: initial connection info selected data selection of data when specifying the document library columns finally in the templateOnce the template administrator is happy with the state of the document and published the necessary changes he can now rest assured that all the correct info will be placed in the document on document creationAs a document creator I am now able to easily create hundreds of personalized proposals using the same template which gathers info from a centralized (hopefully)current data source
