DRAFT MAGAZINE ~ GREAT AMERICAN BEER FESTIVAL (Three day event)
Venue: Colorado Convention Center, Denver, CO
Occasion: Promote a new national lifestyle magazine at the Great American Beer Festival, the largest annual
industry trade show.
TRADE SHOW BOOTH
Objectives
• As DRAFT grew each year Encore worked with DRAFT to specifically meet all of its changing
objectives. In 2006 Encoré worked with DRAFT to create brand awareness of this new publication.
After achieving our goal in 2006 Encore knew that in 2007 the goal would need to be to increase
subscriptions. In 2008 DRAFT was the publication to go to and since our previous goals had been
met Encoré helped DRAFT to gain increased website visibility at the 2008 Great American Beer
Festival.
Planning
• Researching what would be needed to make this event successful was the first step. After
researching items like food, linens, chairs, gift bags, and promotional giveaways, we then moved on
to ordering all that would be needed. We also worked with Freeman to facilitate all of the shipping.
Each year the core of the planning stayed similar but twists were added in order to meet objects. In
2007 a more upscale area was created for VIP. The improvements came from higher scale of design
elements and food and beverage. 2007 also brought the addition of a penthouse party for select
advertisers that was planned and arranged by Encoré. In 2008 Encoré helped DRAFT make their
website more prevalent by adding it to signage as well using events and giveaways to drive people
to the website.
Design Work
• Encoré had a large part in the design aspect. We were involved with every aspect from designing of
programs, all displays at the event, all the way to the ordering, fit and creation of the look of the
“Draft girl” apparel.
Project Management
• In order to make the event run smoothly we made sure to coordinate and manage the entertainment
on-site, as well as the event as a whole. It was also necessary that Encoré’s employees be educated
in their tasks. Encoré trained all employees/volunteers in tasks to ensure a smooth running event.
Since 2007 created a more upscale environment it was important that the DRAFT executives feel
comfortable and taken care of. Encoré made sure to locate and book a penthouse condo for DRAFT
executives, as well as keep them abreast of airline rates to Denver.
2. DRAFT’S VIP LOUNGE AREA
Planning
• For the VIP Lounge we wanted to create a private, invitation only, high-spirited Bistro atmosphere.
Encoré made sure to plan and set up the room, décor, entertainment and promotions.
Project Management
• Encoré was in charge of research and ordering of all amenities such as food/beverage, linens,
furniture, etc. Encoré was also there to hand out our own custom created VIP Passes and act as on-
site management for the event. With the help of a US Senator, we were also able to facilitate
shipping of remaining magazines to troops in Iraq.
Outcome
• Each year both Encore’s and DRAFT’s objectives were met. Thousands of subscriptions were sold at
the event and more came in after. The first year marked a high level of excitement about this new
beer/lifestyle publication. The following year DRAFT Magazine had successfully built a loyal fan
base and has surpassed any other beer publication in quality and subscription. Within days of the
2008 Great American Beer Fest, the DRAFT website received hundreds of hits, surpassing
expectations DRAFT had previously had for this event.
FEBRUARY~ 2007 DRAFT MAGAZINE ~ FBR OPEN (Week-long PGA event, 160,000 attendees)
Venue: The Players Club Scottsdale, AZ
Occasion: Draft magazine purchased a sponsorship of the 15th hole for which Encoré provided promotional
and booth planning and management.
Planning
• Encoré made sure that DRAFT was the hole to be at. “DRAFT Girls” were again hired and trained by
Encoré to be on hand to greet and hand out giveaways that Encoré had selected. Encoré again
designed, ordered and fitted a look for the “DRAFT Girls”. Encoré’s design of the booth was not the
only reason for its success, the DRAFT tent also had interactive games located and rented by Encoré,
which helped to ensure plenty of visitors to the 15th hole.
Design
• Encoré designed signage, booth banners, and DRAFT dollars to be used with real money in the
money machine.
Project Management
• Due to an extensive storm, Encoré worked with the Thunderbirds (event organizers) to move and
reconfigure booth after being rained out. Encoré also managed models and DRAFT employees in
working the booth and exit areas.
Outcome
• This weeklong event was so successful with subscriptions sales that the DRAFT website crashed
from the volume of web visitors. Investors were very impressed with the look, feel and energy of the
presentation of the product. Subscription sales skyrocketed for a four-week period during and after
the event. Within six months, advertising revenue doubled, which allowed the publisher to adjust
rates accordingly for the rest of 2007.
3. Locally Held Fundraisers, Grand Openings and Corporate Events
MARCH 2007 ~ EXPERIMENTAL AIRCRAFT ASSOCIATION ~ HOPS AND PROPS
Venue: EAA Museum, Oshkosh, WI
Occasion: Encoré was instrumental in negotiating a partnership between EAA and Draft Magazine for this
annual fundraising event for EAA.
VIP DINNER
Planning
• For the VIP Dinner we made sure to work with DRAFT Executives in order to arrange special guests
for the event, Ben Ford (Harrison Ford’s son) and head Brewmaster, Nathaniel Daris from Anheuser
Busch. Encoré also ordered special glassware to accommodate several different styles of beer served
with each course. All of the décor, certificates, giveaways, table settings, and seating arrangements
were planned first hand by Encoré.
Project Management
• Encoré was there for all on-site needs, managing all areas involved with the event. We were also on
hand to redeem tickets and give attendees special gifts that were planned by Encoré.
Outcome
• A solid, mutual benefiting relationship was forged between EAA and DRAFT Magazine resulting in
their partnering again for this event in 2008. DRAFT increased subscriptions as well as brand
recognition among attendees and brewers in the Wisconsin/Midwest area. EAA received high praise
and outstanding feedback on the VIP dinner, presentation, details and staffing.
SEPTEMBER 2007 ~ THE RENAISSANCE CENTER ~ GRAND OPENING GALA
Venue: The Renaissance Center, Fox Valley Plastic Surgery Center and Medi-Spa.
Occasion: Encoré planned and organized three private and public grand opening events with a total of 1200
attendees.
VIP EVENT ~ INVITATION ONLY
Planning
• For The Renaissance Center Encore created a Tuscan theme, planning all décor, and food and
beverage around this theme. Encoré arranged a wine purveyor to be apart of the event with special
wine tastings. Encoré made sure to tie up lose strings by coordinating a tour with employees,
determining traffic flow of event, and managing the event list.
Design
• The brochure for the event was designed by Encoré to look like a work of art, incorporating the
Michelangelo ceiling painting in the building rotunda. We also developed the signage for the tour.
Project management
• Encoré was onsite to ensure the event ran smoothly and to help assist in selling of gift certificates.
MEDICAL PROVIDER TOUR/RIBBON CUTTING CEREMONY
• Encoré arranged the ribbon cutting ceremony with the Oshkosh Chamber of Commerce. Encoré also
planned the food and beverage to again continue on the Tuscan theme.
4. PUBLIC GRAND OPENING
Planning
• In order to make sure the event ran smoothly Encoré planned shuttle bus transportation for guests
from parking area a block away. We also created a floor plan as well as coordinated traffic flow in
and out of the building.
Project Management
• Encoré helped to facilitate all media before and during the event. Encoré also arranged all signage
and purchasing of gifts for event. Encoré was also there to help on-site needs such set up, welcome
area, tour assistance, and selling of gift certificates.
Outcome
• Hundreds of gift certificates were sold and appointments were booked out for the next several
months for this new state-of-the-art medical facility and spa. Hundreds of people were able to tour
and see close up exactly what this medical facility had to offer. The event greatly increased name
recognition and branding tied in with the introduction to this grand new building.
OCTOBER 2007~ OSHKOSH TRUCK CORPORATION~ RETIREMENT GALA
Venue: North Shore Country Club
Occasion: Encoré planned and coordinated a retirement celebration for top-level executive with a Fortune
500 company within only a three-week time frame.
Planning
• In planning this event Encoré came together to determine a theme, menu, venue, linens, layout and
décor. Encoré helped with the purchasing and wrapping of gifts of guest of honor. To ease pressure
on the speakers Encoré also created an agenda for them.
Design
• Encoré designed all the necessary elements for the event including the invitations, menu, place
cards, and table favors.
Project Management
• Encoré made sure to mail and track all of the exclusive guests list. Encoré booked all of the
entertainment and entertainment needs for the event. To ensure everything ran smoothly Encoré was
there for the set up and take down of the event.
Outcome
• The two employees that would normally be responsible for this event were able to arrive at the
event only moments before it began. They were confident that every detail was attended to. The
event went perfectly and the CEO commented that it was the most beautiful party he has ever
attended, better than the most lavish wedding.
NOVEMBER 2007~ OMNI PAINT AND GLASS ~ GRAND OPENING OF NEW LOCATION
Venue: New Omni Paint and Glass Building
Occasion: Encoré planned and managed four events associated with the grand opening of the Omni Paint
and Glass new building location.
CONTRACTOR EVENT
Planning
• Encoré was in charge of all planning on all décor, invitations, arrangements, rentals, food and
beverage, layout, and entertainment.
5. Project Management
• Encoré was on site for management. Encoré also created a tour guide and met with project
managers to do a walk-through.
VIP EVENT (additional tasks)
• Encoré arranged the ribbon cutting ceremony with the Oshkosh Chamber of Commerce. We
facilitated all media of the event and helped plan an agenda for speeches.
FAMILY AND FRIEND EVENT
• Same as Contractor Event with take down and clean up of venue after.
EMPLOYEE APPRECIATION EVENT
Planning (Coordinated this event with Omni CFO)
• Encoré planned, created and/or helped design layout of all areas, all floral arrangements,
entertainment, food and beverage, giveaway items and agenda for speaker. Encore also ordered any
items that were to be needed for the event such as chairs, linens, tables, etc.
Project management
• Encoré helped facilitate all areas of the event. We were also there for all of the set up and take
down.
Outcome
• Each group feted at these events left feeling appreciated and special. Many of the guests expressed
that to the company and to us. The employee event was especially appreciated with many of the
families saying it was the best company party ever. The employees who were usually put in charge
of planning events such as this were extremely grateful to be able to relax and enjoy the event
instead of being stressed out with the responsibility of it.
JUNE 2008 ~ ACUITY ~ COMPANY PICNIC
Venue: Acuity grounds in Sheboygan, WI
Occasion: Encore planned and managed company picnic for Acuity employees and their families.
Objective
• Encoré worked with a team of employee volunteers to coordinate a one day employee and family
picnic for over 1800 people on the Acuity campus. The goal for the event was to have the day
enjoyed by all including those volunteers.
Planning
• Encoré assisted with every facet of the event including game and inflatable rental, entertainment,
registration and entry area, recruiting and organizing volunteers, researching and shopping for
Grand prize, and creating a site plan for the event.
Project Management
• Encoré assigned two primary planners to arrive the day prior to the event and oversee entire set-up.
On the day of the event, six additional Encoré staff arrived and was assigned to oversee specific
areas, such as dining, children’s games, bingo, inflatable, etc. In addition the entire Encoré team
stayed and coordinated clean up of the entire picnic area.
Outcome
• All Acuity employees enjoyed the picnic, and for the first time, the volunteer team could also enjoy
the day set aside by the company to show their employees appreciation for hard work all year long.
6. JUNE 2009 ~ ASSURANCE TITLE~ GRAND OPENING
Venue: Assurance grounds
Occasion: Encoré planned and coordinated Assurance Title’s grand opening in Oshkosh for over 200
people.
Planning
• Encoré coordinated all details pertaining to the event including planning décor, ordering rentals,
establishing agenda, creating floor layouts and selecting food and beverage.
Design
• All of the design work such as signage and invitations were created personally from Encoré. Encoré
also mailed each invitation, kept track of invitee lists and RSVP’s.
Project Management
• Encoré assisted in determining roles for staff for the event. We were also present to provide on-site
management and facilitate deliveries and pickups.
Outcome
• The event provided a lot of buzz within the company. Those who had attended it were talking about
it long after they attended and those who missed the event were vocally upset about missing the
event.
NOVEMBER 2009~ OSHKOSH CORPORTATION ~ RETIREMENT GALA
Venue: The Waters
Occasion: Encoré planned and coordinated a retirement celebration for top-level
executive with a Fortune 500 company.
Planning
• In planning this event Encoré came together to determine a theme, menu, venue, linens, layout and
décor. Encoré helped with the purchasing and wrapping of gifts for the guest of honor. To ease
pressure on the speakers Encoré also created an agenda for them.
Design
• Encoré designed all the necessary elements for the event including the invitations, menu, place
cards, and table favors.
Project Management
• Encoré made sure to mail and track all of the exclusive guests list. Encoré booked all of the
entertainment and entertainment needs for the event. To ensure everything ran smoothly Encoré was
there for the set up and take down of the event.
Outcome
• Several guests as well as the guest of honor were thrilled with how smooth everything went and
how gorgeous the night was overall. The employee who would normally be in charge of the event
was relieved to be able to just show up moments before the event started as opposed to stressing
over the events details.
7. Upcoming Events
MAY 2010 ~ SADOFF & RUDOY ~ SALES MEETING
Venue: Oshkosh Convention Center Oshkosh, WI
Occasion: Encoré is planning Sadoff & Rudoy’s annual sales meeting to reach present and future customers
and trades people.
Planning
• Encoré created a theme for the sales meeting that will be cohesive with the décor, venue, and food
and beverage. We are developing the most functional layout for the meeting area, welcome area
and dining room. In order to make sure the event runs smoothly Encoré will create an agenda for
the speakers.
Design
• Encoré designed a special metal “Save the date”. Encoré also created place cards, invitations and
signage for a complete look.
Project Management
• Encoré will manage budget, timeline and RSVP’s for event. We will also coordinate transportation
for an optional facility tour after the meeting. Encoré will be on-site to coordinate the days events,
including handing out the custom made parting gifts that Encoré had researched.
