By taking the time and effort to meet personally
with prospective tenants during property
viewings and by conducting interviews, our
Property Managers carefully evaluate each
applicant. We document information using the
‘Application for Tenancy Form’, so as to collect
all the relevant personal details and carry out
previous tenancy, credit and reference checks.

your perusal.
Tenancy Agreement
This is the most important document of all and,
at Time Conti Sheffield, we make it our business
to help you make sure it’s right. It’s not simply a
question of filling in the details and blank spaces
and making sure that it is signed and witnessed
and job over.
13. Our Tenancy Agreements spell out the
intentions of each party, their expectations
and obligations, documenting them into
legally binding contracts. We understand how
important it is that what is being signed is
clearly explained and understood. Far too many
Property Managers miss this point. By taking
the time to make sure that each party clearly
understands their obligations, there is much less
risk of intentional or unintentional default.
Our people are professionally trained in all
aspects of Tenancy Agreements and all
contracts are scrutinised and checked by our
senior personnel.
Critical dates, such as rent review dates and
termination dates are recorded and upheld.
A copy of the Tenancy Agreement used by our
Property Managers is included in this pack.
Arrears control
Time Conti Sheffield has excellent systems
and procedures in place to ensure the efficient
detection and management of arrears. Everyone
can invest in the latest software, but arrears
control need more than a system. It requires
trained people to perform the task. “It’s the
computer’s fault” is not an excuse we use.
Our people are highly trained in the
management of arrears and the importance of
early detection, action and collection. We are
firm, but fair, and in this way the relationship
between tenant and owner does not sour.
14. Bonds
The appropriate bond money is collected
and receipted at the time of signing
the Tenancy Agreement. The funds are

When the tenancy comes to an end and
the property is inspected, a comprehensive
condition report is prepared and if there
is any damage beyond fair wear and tear,
quotes for repairs are obtained and a bond
reconciliation statement is prepared.
Possession and handover
We do not give the occupier possession of
your property until all documentation has
been signed, rent in advance and bond
monies have been paid and the proceeds
have been cleared.
Once everyone is satisfied, we hand over
the keys to the property and assure the
tenants that we are available should they
need to discuss any aspect of their tenancy.
15. Repairs and maintenance
Repairs and maintenance are a necessary
consequence of owning property.
Attending to repairs and maintenance is good
economics for a property owner because it keeps
the property in good condition and attractive
at all times, making both the owner and tenant
“property proud”.
Having the tenant “property proud” has the
advantage of higher rent and less vacancy.
The financial outcome of how repairs and
maintenance items are managed is dependent
on the process employed. For example:

Using A.B.N registered, qualified
and insured contractors
Deciding whether to repair or replace
and the taxation implications
Deciding on which contractors to use
Obtaining quotes for repairs or
replacement before engaging a contractor

16. Vacating
When a tenancy nears termination
we check with you to see what
your intentions are in respect
to re-letting the property. If you
choose to re-let, then we carry
out a preliminary rent review and
promote your property on our
available soon register, so as to
minimise vacancy.
When the occupier vacates and
hands over the keys, we carry out
a final property inspection and
document our observations on the
Property Conditions Report.
We then compare the condition
of the property against our
observations in the initial
report we conducted and make
a determination as to any
deductions (fair wear and tear
excepted) to the Bond.
