• The sponsor is the “KEY” ingredient to the success of the
newcomer’s transition
• Ensures a smooth, positive and effective integration into the
command/community
• Establishes a direct relationship with the morale of the family
and the readiness of the Army

APPOINTING A SPONSOR
• Sponsors are appointed within 10 days of receipt of
DA Form 5434.
• When feasible, sponsors are selected who are the
same gender, marital status, and military career
field.
• The sponsor is normally of equal grade or higher
than the incoming member.

BEFORE ARRIVAL
• A welcome letter will be sent by the CDR to officers, CSM to Soldiers
and activity director to civilians within 10 days after receipt of DA Form
5434
• A sponsor will send a welcome letter with all contact information and a
“Welcome Packet” within ten working days of appointment
• Sponsor will telephone/e-mail newcomers’ and answer follow-up
correspondence with in 10 days

NEWCOMER’S RESPONSIBILITY
• Reply “immediately” to all phone calls, emails, letters, etc., from their
sponsor.
• Inform sponsor “immediately” of leave address, contact information and all
status and assignment changes.

ARRANGEMENTS
• Confirm transportation arrangements:
- Flight number, arrival date and time
- Number in the traveling party
- Reservations for the Narita bus/luggage
- Confirm lodging arrangements
- Make pet quarantine arrangements (if needed)
- Provide a checklist of items to bring
- Leave a “welcome basket” in their room (Personal Choice)

Housing Availability
Army Family Housing :
Camp Zama Community and Ondo Housing
Currently there is approximately a 30~60 day waiting period (subject to change). Our ability to offer
more then one home, a specific home, a specific installation, or consider special requests is very limited
and normally done through an exception to policy.
Currently USAG-J authorizes 100% JFTR it is strongly recommended that you do not bring oversized
furniture (shrunks, king size beds, etc). Homes in Japan are normally smaller (to include those on the
installation, sq ft runs between 800-1450) than stateside. We provide "Full Tour" furnishings and
appliance support.
DOD Housing:
Family Housing on Okinawa
- Please contact the Housing office directly for information
Current policy authorizes 100% JFTR provides it is strongly recommended that you do not bring
oversized furniture (shrunks, king size beds, etc)
- Full tour furnishing is not provided, only loaner furniture for 90 days incoming and outgoing)

• Customer brings 1 copy of orders to Bldg 102, RM E-100, Inbound Section
• Weight entitlement for shipments made after 1 Dec 2011 for all Soldiers &
Civilians is 25% of JFTR/JTR entitlement. No long term storage auth in
Japan
• Soldiers must declare professional gear (PBP&E) with origin T.O. prior to
Pick Up. *Civilians must have PBP&E authorization on orders
• Shipping a POV to Japan: Obtain a POV Waiver Package from the Zama
T.O. for approval prior to shipment
• Storing a POV: A storage authorization letter must be obtained from origin
T.O. for reimbursement
*Note: Civilians DO NOT have a POV storage entitlement*.
