  • 18. Welcoming & accompanying the new joinee traveling abroad right from place of departure to Place of destination.
  • 19. Helping them in easy clearance from respective airports and safely posting them to the Guest Houses ad satisfying them by providing the required preliminary needs.
  • 20. Arranging the transportation facility for the employees who are traveling to UAE from Various Location.
  • 21. Giving the green signals by issuing the PNR confirmation to respective Airlines by which they are traveling.
  • 22. Also preparing the List of selected candidates and providing the same to PRO dept to process their Visa Request.
  • 23. Closely working with HR dept in renewing the expired Passports for the NRI residents.
  • 24. Coordinates with the Embassy’s in filling up Visit Visa which are required for traveling from one national to other for interviews & other business travels.
  • 25. Looking after the certification attestation of the submitted docs by the candidates by their respective Embassy.
  • 26. Allocating the new joinees to respective sites for where they are hired.
  • 27. Processing the Application for Visa Stamping of the candidate traveled after getting the Medical Clearance Report.
  • 28. Processing the Advance Form for issuing the advance to the candidates who have recently joined.
  • 29. Providing them shelters as per the designation & as decided by the company standards.
  • 30. Preparing their Joining form once all the formalities are finished with the clearance reports.
  • 31. In touch with Embassy Ambassadors – All Nation, use to clear the complicated issues. Such as Police arrests, helping out release.as per the instruction fro TOP Management,
  • 32. Traveling to all location (Abu Dhabi, Dubai, AL Ain, and Sharjah) and making the reports for fresh application of Visas and renewals.

  • 34. Looks after the time sheet compliances & management information sheets for all FSBU onsite resources, co ordinates over FAX, phone , email.
  • 35. Making it sure that onsite resources are filling up their timesheets in order to bill the same to the customer.
  • 36. Filling up the claims ensuring the receipts, couriers to BPO etc.
  • 37. Works closely with the accounts receivable team in order to get the status reports for the billable receipts which are made to the clients.
  • 38. Making it sure the payments are debited by the client after regular follow up (International).
  • 39. Ensuring the receipts and bills are scanned and mailed on time as a proof.
  • 40. Approving the expense reports of the resources which are residing onsite Nationally & internationally.
  • 41. Approve all expenses in People soft (Ensuring that hey are in line with Patni Expense policy.
  • 42. Put all EMC`s & others in project wise format correctly matching up the expenses to Projects (Engineers Average projects 3-4 projects every month).
  • 43. Ensure correctness of the invoices & reconcile to EMC & other project wise costing sheets.
  • 44. Ensure the timely submission of the invoices to clients on time and make it sure that it’s reached to them after regular follow ups.
  • 45. Interface between engineers & HR/ Finance for queries & problem resolution.
  • 46. Follow up with HR & Resource team for new hiring as per the clients requirements.
  • 47. Co Ordinate with technical & non Technical Interviews in accordance with Resources team.
  • 48. Looks partly the General Administration team.
  • 49. Co ordinate with payroll dept for debiting of salaries and employee claims.
  • 50. Workstation planning for the hired candidate as part of admin activity.
  • 51. Matching up the Timesheets with EPMS (Employee project monitoring systems).

  • 53. Looking after all internal & external affairs from Admin point of view
  • 54. Record maintaining, asset maintaining, travel desk records, guest house records.
  • 55. Maintaining a register of Staff vouchers, coordinating HR in staff medical & flexi claims.
  • 56. Helping HR Tea in conducting the group interviews& telephonic interviews & also one to one interviews.
  • 57. Conferencing Systems for any business related activities.
  • 58. Vendor management & Space allocation for the employees.
  • 60. New Joinee arrangements & helping HR for a warm on boarding the new joinees.
  • 61. Maintaining the sports equipments, ad publishing of the records such as purchase & damage caused.
  • 62. Also ensuring the custody of Sports assets & equipments,
  • 63. Coordination of E R Session & complete arrangements from facility perspective,
  • 64. Shuttle services and maintenance of records of the shuttle details monthly.
  • 65. The entire facility service provided to guest from abroad & domestic clients.
  • 66. Coordinates with travel dept for ticketing and their transportation.
  • 67. Hotel bookings & Billings arranged for the guest.
  • 68. Also handover of the assets from the employees while exit & report to Local Admin Head & HR.
  • 69. Also looks after the Library dept, purchase and issue of books to the employees and ensuring the return date, and stored again to its records.
  • 70. Coordinates with the IT dept in Network configuration, and also solves immediate problems such as connectivity and also VPN connectivity.
