“Digital Presentation”
A digital presentation is a process of providing information to an audience
using text, audio, video and graphics. It makes a better impact on audiences
while representing information and also provides easy understanding of the
topics.
A presentation consists of various slides. A slide is just like a separate sheet of
a notebook on which you do your work.
While prospering presentation you have to keep in mind that:
Avoid Gaudy Font: means, in a professional presentation, you should steer
clear of too much variety in the style of presentation. Different kinds of fonts
for different slides are generally not considered good. So use font which is
elegant (stylish) and looks august (impressive).
Use contrasting colors for text and background:
Colors used in presentation should have the quality that have should aid
visibility. The text color should be in a dark color and the background color
should be light. Keep the color of the slide consistent throughout the
presentation.
Use animations and Transitions sparingly (carefully) :
While it may look flashy to use animations and transitions in the slide, the
audience may find this detracting (distrustful).
Some components of PowerPoint:
Slide pane: It is display on the left most side of you presentation. The Slide
pane displays thumbnail of slides and allows you to add new slide, delete
existing slide or rearrange slides in order.
Note Pane: The notes pane allows you to add notes for each slide separately.
These notes can be helpful to the user while presenting a presentation. You
can also create notes for your audience and distribute them in printed form.
Slide: It is the main working area of your presentation. On a slide you can add
text, pictures, audio, video, tables, smart arts graphics, charts, drawing object,
text box, hyperlinks and animation.

Slide show: “A presentation software is generally used to display information
in a sequence of slide, which is called slide show ”.
How to open the PowerPoint application:
1. Click on the Start All ProgramsMicrosoft OfficeMicrosoft
PowerPoint 2010
“or”
2. Double-click on the PowerPoint application icon if it is present on the
Desktop.
“or”
3. You can also write PowerPoint in the search textbox and press the enter
key.
“or”
4. Right-click on the desktop and from the short-cut menu. Select New,
then click on the Microsoft Office PowerPoint Presentation option.
By using any one of the above way you can open the PowerPoint
application.
The steps to create a new presentation:
1. Click on the File tab and select New option. A window appears that
displays various pre-defined layout for a presentation called template.
2. Select a template, if you want to use a pre-defined layout. Otherwise,
select the Blank presentation option to create an empty presentation.
3. Click on the Create button. A new presentation appears on the
computer screen.
4. The textboxes on the slide where you enter your text by click on the
textbox is known as placeholders.
5. You can also change the layout of the slide to set different type of
placeholder that can hold different type of object by Right-click on the
slide at the Slide pane and from the sub-menu click on the Layout option
and then choose a layout you want for you slide.
Saving the presentation
1. Click on the File Menu Save option

Press the Ctrl + S keys
Then the Save As dialog box open up.
2. Chose the directory or drive in left pane and enter the name for file in File
name text box.
3. Click on the Save button. The presentation will be saved with the name
given by you.
 When you save a PowerPoint file in 2010 then it will save with the
extension of .pptx
Closing a presentation:
 In PowerPoint, a presentation can be closed by click on the
FileClose option.
 If you want to close the presentation as well as to come out of the
application then either click on the Close (x) button available on
the left most corner of the Title bar or click on the FileExit
option.
Difference between Save and Save As:
Save:
 This option updates the existing file. Its mean, this option save the
changes in the same file.
 But if the file is a new file and that file not yet saved ever then
when you click the save it will display you the Save As dialog box, you
have to give a name for the file then save the file by click on the Save
button of the Save As dialog box.
 FileSave or Ctrl + S or click on the Save Icon present on the
Right most corner of the Title bar.
Save As:
 This option is always asks to create a new copy to update your
changes while keeping the one as it is. FileSave As
Running a Slide Show:

After you create the or save the presentation you can run the presentation by
using one of the following steps:
1. From the Status bar click on the Slide Show Icon.
2. You can also press the F5 key to run the presentation.
3. The Start Slide Show group of the Slide Show Tab contains three option
they are:
i. From beginning: start the slide show from the beginning. It means
from the first slide.
ii. From Current Slide: start the slide show of the selected slide.
iii. Custom Slide Show: A custom slide show displays only the slides
that you have select.
Steps to create Custom slide show:
i. Click on the Custom Slide Show option from Start Slide Show group
of the Slide Show Tab.
ii. The Custom Shows dialog box will display.
iii. Click on the New button of the window.
iv. Then it will display the Define Custom Show dialog box. In this dialog
box specify a name for you show at the Slide show name text box.
v. Select slides from the Slide in presentation section. Then click the
Add>> button. (continue this process to add slide that you want)
vi. Then the selected slide will display in the “Slides in custom show
section” section.
vii. You can delete or remove a slide from custom slide show by select
the slide from “Slides in custom show section” section and click on
the Remove button.
viii. You can also re-ordering you custom list slides slide by select the
slide from the “Slides in custom show section” section and click on
the UP and DOWN arrow of the Define Custom Show dialog box.
ix. After adding slides that you want, click on the Ok button.
Insert a new/blink slide:
You can insert a blank slide to your presentation by on the Home tab,
then from the Slides group click on the New Slides drop-down button
then select a slide you want to add in your presentation.

“Or”
You can insert a blank slide to your presentation by press the Ctrl + M
key.
Insert a Duplicate Slide:
i. In the Normal view, click on Home tab Clipboard group click
on Copy option drop down button.
ii. Two option show up, Copy and Duplicate. Click on Duplicate.
The slide you choose to duplicate will be done.
“OR”
 You can insert a duplicate slide to your presentation by on
the Home tab, then from the Slides group click on the New
Slides drop-down button then click on Duplicate Selected
Slides option to add a duplicate slide in your presentation
“OR”
 You can also create a duplicate copy of a slide by select the
slide at Slide Pane and then press the Ctril + D key.
Slide Layout:
A slide layout contains placeholders to hold various types of contents.
Whenever slide layout task pane is opened, you have various layout you
want to change.
To change the slide layout, follow the given steps:
1. Select the slide whose layout you want to change.
2. Click on the Home tab.
3. Click on the Layout option from Slides group. The slide layout task
pane is open.
4. Then, select a layout you wish to apply to your presentation.
“Or”
1. Right-click on that slide at the Slide Pane section and from the sub-
menu click on the layout option.
2. Then, select a layout you wish to apply to your presentation.
The selected layout applies to the selected slide.

 In PowerPoint presentation you can press Ctrl + C to copy a
slide after selecting it.
 In PowerPoint presentation you can press Ctrl + V to paste a
slide after copying it.
Controlling the size of view:
There are two ways in which the size of a view can be changed. These are:
1. Use Ctrl + Scroll up or down button of the mouse. The scroll up
increases the size of view and scroll down reduces the size of the view.
2. In the status bar, drag the Slider right or left to see a bigger or smaller
view of your slide.(100% means normal view)
Views of a presentation:
PowerPoint provides different types of views in which you can view your
presentation.
1. Normal View:
This is the default view of PowerPoint. In this view, you can add text, and
images on the slide. It is the main editing view. It has a slides pane, slide
and notes pane.
2. Slide Sorter View:
This view shows you all the slides in a miniature form. This facility is
helpful in rearranging, deleting, adding new slides. Etc.
3. Notes Pages View:
This view allows you in view the pages to edit the speaker notes as how
they will look when you print them out.
4. Reading View:
This view hides tabs, groups, ribbons and other elements of the screen
and provides a full space to view or read the contents of a slide. It
includes easily accessible buttons for navigation, located at the button-
right corner of the screen.
5. Slide Show View:
This view completely fills the computer screen and displays you the
series of slides in a defined sequence. Slide Show view has an additional
menu that appears when you right-click the mouse over it during slide
show, allowing you to navigate slides, screen color and pointer potions
etc.

 Slide Master: Slide master is a feature using which a uniform formatting
can be applied to all the slides of a presentation. You may add pictures do
formatting changes and change the look and feel of the slides.
Below are the steps to create slide master:
i. Click on the View tab. Click on the Slide Master in the Master Views
group. A template appears in the slide pane.
ii. Click on the first slide to make it master.
iii. Apply various effects to the selected slide like formatting text,
changing theme, insert picture etc.
iv. Click on the Close Master View in the Close group of Slide Master
tab. The changes will appears on all slides of a presentation.

A new presentation appears on the computer screen. 4. The textboxes on the slide where you enter your text by click on the textbox is known as placeholders. 5. You can also change the layout of the slide to set different type of placeholder that can hold different type of object by Right-click on the slide at the Slide pane and from the sub-menu click on the Layout option and then choose a layout you want for you slide. Saving the presentation 1. Click on the File Menu Save option
  • 3. 3 “Or” Press the Ctrl + S keys Then the Save As dialog box open up. 2. Chose the directory or drive in left pane and enter the name for file in File name text box. 3. Click on the Save button. The presentation will be saved with the name given by you.  When you save a PowerPoint file in 2010 then it will save with the extension of .pptx Closing a presentation:  In PowerPoint, a presentation can be closed by click on the FileClose option.  If you want to close the presentation as well as to come out of the application then either click on the Close (x) button available on the left most corner of the Title bar or click on the FileExit option. Difference between Save and Save As: Save:  This option updates the existing file. Its mean, this option save the changes in the same file.  But if the file is a new file and that file not yet saved ever then when you click the save it will display you the Save As dialog box, you have to give a name for the file then save the file by click on the Save button of the Save As dialog box.  FileSave or Ctrl + S or click on the Save Icon present on the Right most corner of the Title bar. Save As:  This option is always asks to create a new copy to update your changes while keeping the one as it is. FileSave As Running a Slide Show:
  • 4. 4 After you create the or save the presentation you can run the presentation by using one of the following steps: 1. From the Status bar click on the Slide Show Icon. 2. You can also press the F5 key to run the presentation. 3. The Start Slide Show group of the Slide Show Tab contains three option they are: i. From beginning: start the slide show from the beginning. It means from the first slide. ii. From Current Slide: start the slide show of the selected slide. iii. Custom Slide Show: A custom slide show displays only the slides that you have select. Steps to create Custom slide show: i. Click on the Custom Slide Show option from Start Slide Show group of the Slide Show Tab. ii. The Custom Shows dialog box will display. iii. Click on the New button of the window. iv. Then it will display the Define Custom Show dialog box. In this dialog box specify a name for you show at the Slide show name text box. v. Select slides from the Slide in presentation section. Then click the Add>> button. (continue this process to add slide that you want) vi. Then the selected slide will display in the “Slides in custom show section” section. vii. You can delete or remove a slide from custom slide show by select the slide from “Slides in custom show section” section and click on the Remove button. viii. You can also re-ordering you custom list slides slide by select the slide from the “Slides in custom show section” section and click on the UP and DOWN arrow of the Define Custom Show dialog box. ix. After adding slides that you want, click on the Ok button. Insert a new/blink slide: You can insert a blank slide to your presentation by on the Home tab, then from the Slides group click on the New Slides drop-down button then select a slide you want to add in your presentation.
  • 5. 5 “Or” You can insert a blank slide to your presentation by press the Ctrl + M key. Insert a Duplicate Slide: i. In the Normal view, click on Home tab Clipboard group click on Copy option drop down button. ii. Two option show up, Copy and Duplicate. Click on Duplicate. The slide you choose to duplicate will be done. “OR”  You can insert a duplicate slide to your presentation by on the Home tab, then from the Slides group click on the New Slides drop-down button then click on Duplicate Selected Slides option to add a duplicate slide in your presentation “OR”  You can also create a duplicate copy of a slide by select the slide at Slide Pane and then press the Ctril + D key. Slide Layout: A slide layout contains placeholders to hold various types of contents. Whenever slide layout task pane is opened, you have various layout you want to change. To change the slide layout, follow the given steps: 1. Select the slide whose layout you want to change. 2. Click on the Home tab. 3. Click on the Layout option from Slides group. The slide layout task pane is open. 4. Then, select a layout you wish to apply to your presentation. “Or” 1. Right-click on that slide at the Slide Pane section and from the sub- menu click on the layout option. 2. Then, select a layout you wish to apply to your presentation. The selected layout applies to the selected slide.
  • 6. 6  In PowerPoint presentation you can press Ctrl + C to copy a slide after selecting it.  In PowerPoint presentation you can press Ctrl + V to paste a slide after copying it. Controlling the size of view: There are two ways in which the size of a view can be changed. These are: 1. Use Ctrl + Scroll up or down button of the mouse. The scroll up increases the size of view and scroll down reduces the size of the view. 2. In the status bar, drag the Slider right or left to see a bigger or smaller view of your slide.(100% means normal view) Views of a presentation: PowerPoint provides different types of views in which you can view your presentation. 1. Normal View: This is the default view of PowerPoint. In this view, you can add text, and images on the slide. It is the main editing view. It has a slides pane, slide and notes pane. 2. Slide Sorter View: This view shows you all the slides in a miniature form. This facility is helpful in rearranging, deleting, adding new slides. Etc. 3. Notes Pages View: This view allows you in view the pages to edit the speaker notes as how they will look when you print them out. 4. Reading View: This view hides tabs, groups, ribbons and other elements of the screen and provides a full space to view or read the contents of a slide. It includes easily accessible buttons for navigation, located at the button- right corner of the screen. 5. Slide Show View: This view completely fills the computer screen and displays you the series of slides in a defined sequence. Slide Show view has an additional menu that appears when you right-click the mouse over it during slide show, allowing you to navigate slides, screen color and pointer potions etc.
  • 7. 7  Slide Master: Slide master is a feature using which a uniform formatting can be applied to all the slides of a presentation. You may add pictures do formatting changes and change the look and feel of the slides. Below are the steps to create slide master: i. Click on the View tab. Click on the Slide Master in the Master Views group. A template appears in the slide pane. ii. Click on the first slide to make it master. iii. Apply various effects to the selected slide like formatting text, changing theme, insert picture etc. iv. Click on the Close Master View in the Close group of Slide Master tab. The changes will appears on all slides of a presentation.
