IT Programs at ST are worldwide large projects composed of multiples teams and leaders to coordinate. To manage large programs, how avoid hundreds of non-tracked emails and over-complex tools?
Pierre-Yves COLLE shares how he designed and adapted workspaces with Tuleap to perfectly suit his needs: get at the same time, an helicopter view for his top management and an analysis detailed view for monitoring progress at project level.
Six Myths about Ontologies: The Basics of Formal Ontology

My challenges, as a Program Manager
4
I want to get ride of emails for managing
/ insuring the follow-up
of actions
I want in the same time a much more
collaborative application but simple,
efficient, perfectly adapted to the
situations I manage

How did I get started with Tuleap
5
Once upon a time ……… … Someone proposed me
to get a look to CODEX
– Tuleap at ST –
I started discovering the trackers with some help
and then, almost, on my own (no training)
I was able to put some in place for different purpose
(CR priorisation, Action follow-up, UAT follow-up, …)

Tuleap offers a META Model

The famous SWISS KNIFE
That will allow YOU to fit to your
own situation, data, rules

Design & adapt a workflow perfectly to your activity
8
1. Start from a
white page
2. Build simple and adapted to your
specific situation (no useless details)
3. Enrich and adapt all along
your walk by adding new
fields, rules, transitions to
new situations that occur
4. Distribute easily the work
accross multiple actors
5. Keep the control of actions
through different reports
(cardwall, list, details view)
6. Provide a high level view for
top management through
graphs and high level analysis
All of this is possible
in one single application

some examples
together

Statistic helicopter view for top management
10
• You define your own
selection criteria
• You have multiple TABS
allowing you to see the
same “artifacts” on
different angles
➔
Here a graphical view

• From previous view you
can switch to a LIST VIEW
12. Monitoring activities and deliverables of large IT projects with Tuleap
Point of situation and review of expectations
12
• From previous view you
can switch to a more
TEXTUAL view

Carwall view to see by actors, version, time ….

• .. Or a CARWALL View
14. Monitoring activities and deliverables of large IT projects with Tuleap
Example of custom artifact page
14
• You can group fields in chapters
• You can re-arrange the screen in infinite
manners
The way to do it is very simple and intuitive
• You can hide some fields and show
them only to some persons / teams
• You can put some rules between fields
• You can have some fields
automatically filled (some dates
for example)

From a detailed status, get a high level one
15
You can manage a very detailed STATUS to know precisely
where you are in the materialization of each request
STATUS ➔ RESOLUTION
Later … Top management ask you a synthetic view …
you can simply let Tuleap manage this more aggregated
high level status, by defining a new field = RESOLUTION
(Open, Nearby Closed / Closed)
You can manage a very detailed STATUS to know precisely
where you are in the materialization of each request

Conclusion
16
Tuleap is by far the most brilliant software I have been able to see
since I’m practicing my engineering degree
• Super simple to setup and to use
• Allow to structure the activities, actions, improvements, … follow-up as I wished to
• Collaborative
• Fire & Forget …. But remember and recall when needed
• Allow to support the weekly review meeting
• Powerful and efficient reporting
…. You are no more alone in front of your mail but all together
• One of the highest “Effort vs Return of investment” ratio I ever saw
• Last but not least, a team who listen and add your ideas in their package
…. At details as well as at high level

Distributed self-adaptative reports
17
I CREATE A REPORT
IN WHICH
I WILL HAVE ONE
FIELD
ASSIGNED
When PIERRE runs it ,
automatically the report shows him his own
tasks. Pierre does not need to change the
assigned field, neither to save it privately
The same for MARIE
The same for ANTOINE
The same for SOPHIE
I MAKE IT PUBLIC SO NOW CAN BE
USED BY ALL MY TEAMS

Dynamic weekly reports
18
In a weekly meeting review , you want to see
- What was agreed to be done during last week
- What is forecasted to be done during next week
- What should have been finished in the past but was missed
Dynamic report on
the horizon +/- 1 week and also
older past tasks not finished
