1. Introduction
GFGC-Periyapatna has a very good library with a collection of more than 22000 books
on various topics of interest for both the faculty and student community. The library
is functioning as a knowledge hub of the college. The library will be kept open from morning
10.00 AM to 5.00 PM in the evening in all working days. Both the faculty and students have the
privileges to borrow books from the library. Books for references will be provided in the
afternoon in all working days. Efforts are made to computerize library functions and developing
it has a learning resource centre of the college.
The library is also in the process to build and develop robust collections of documents of
both print based resources and digital resources. The library collections consist of good number
of reference materials and text books for the need of the student community. The library is
subscribing good number of scholarly journals and popular magazines. Which are highly useful
for faculty and students to engage in research and cultivate research skills. Every day on an
average 120 students visits college library for borrowing books and for referencing. The
succeeding section of this report provides detailed information on library collections, services
provided for students and teaching community, best practices that is being practiced and future
plan to enhance the quality of the library services at the Government First Grade College,
Periyapatna.

Library Advisory Committee is constituted to address the issues involved for the
development of the library. LAC mainly plays an important role in collection development. We
at our college meet and make decisions through LAC for purchasing library materials precisely
books and journals for the library. LAC also meets in segregating funds for different subject
domains based on the available grants. Since 2011-12 to till date the LAC has met 12 times and
made some important decision importantly with regard to purchasing books and journals for
library, purchasing library software for automation, purchasing library furniture for smooth

functioning of the library and other issues pertaining to the library development. LAC is also
major decision making body of the library. Library functions under its guidance and supervision.
5. Library Working Hours
The following Table depicts the library opening hours. The unique feature of our library is it
being kept open during vacations and functions as usual during examinations.

6. Library Collections
Library collection is an important indicator of any good library. The library users‟
satisfaction largely depends on the kind of library collections that the libraries possess. In this
connection here at the library in GFGC-Periyapatna we have taken utmost care to develop robust
collections of books on various subjects of knowledge. Thrusts have been given to reference
materials, scholarly works and develop good collections of Kannada literature and English
literary works. We have strictly followed Government instructions and Department of Collegiate
Educations (DCE) instructions and guidelines in purchasing books and journals to the library.
Our LAC also plays an important role in developing library collections. Library consists of
22747 books (as on March 31st
2016) in total with 4889 titles and subscribed along with 16
national and regional scholarly journals and magazines. Since July 2016 we have also obtained
annual membership for accessing N-LIST electronic resources from UGC-INFLIBNET. Details
of the growth of library books and expenditure details have been given in detail in the succeeding
sections.

6.1. Books
Books form the major library collections. We at the GFGC-Periyapatna have taken care
to develop robust and varied collections of books on various subjects which are useful for both
the faculty and students. While purchasing library books for the library we have also keep in
mind that library books should help the student and teaching community to foster creativity and
critical bent of mind. Library collection development mainly regarding purchasing library books
depends upon the grants we receive from the State Government, University Grant Commission
(UGC), Reading Room Fund (RRF) and gratis from donors in certain occasions. Student and
book ratio is 1:35. Table-1 depicts the year-wise growth of library books and expenditure on
purchasing books for the last five years.

6.2.Financial Expenditure on Purchasing Library Books
As mentioned above our major sources of income is provided by the State Government
through the Department of Collegiate Education (DCE), UGC and Reading Room Fund collected
by the students. However RRF is used when there is no other funds available for purchasing
books and in case of demand for the books in the library. Table-2 depicts the financial
expenditure details of the last five years for purchasing library books through various financial
sources.

To have access to the current information it is through the means of scholarly
communications. Scholarly publications or journals are the primary means to have current,
scientific and critical information on various domains of subjects. Usually journals are published
by learned societies. We have find good numbers of commercial publishers involving in
publishing scholarly journals on various subject fields. Academic institutions especially higher
educational institutions subscribe scholarly journals to encourage its faculty and students to
involve in research activities. Scholarly journals are the primary communication channels which
carries the research output as primary information.
As an under graduate college we subscribe various scholarly journals and magazines to
encourage our students and faculty to involve in research activities and also develop rational and
critical outlook.

Newspaper is the primary means to have the current information on society, politics,
culture, literature, science and many other issues that happens across the world. The college

The Following Table depicts the total expenditure details of journals/magazines and

12 to 2016-17 (as of September 2016). The college library has made serious efforts to increase
the number of journals and magazine subscribed to the library. In 2016-17 alone the library has
spent more than 14000 rupees for subscribing various scholarly journals and magazines to the

7. Availability of Electronic Resources
E-resources are become an essential part of library services now days. Many of the
information which is essential for academics are now available in digital formats. Particularly
scholarly contents such as journals, conference volumes and books are now available largely in
electronic formats only. In this context it has become imperative for libraries to provide access
to electronic resources. UGC INFLIBNET is providing large number of e-journals and e-books
on the consortia basis. We have obtain the membership of N-LIST e-resources consortia and able
to access the e-resources under N-LIST program. The details of number of e-journals and e-
books that can be accessed via N-LIST e-resource package have been given below.

9. Library Services
GFGC-Periyapatna library acts as a knowledge hub of the college. Students and faculty
information needs are fulfilled through the library. The college library provides various services
for both the teaching and student community to help them in their academic endeavour. The
succeeding section of this report discusses various library services that is being provided for the
students and teaching community at the GFGC Periyapatna.

9.1. Circulation Services for Students and Faculty
Circulation service is one of the major and important services that any library should provide
in order to satisfy the information needs of its users. In an academic library environment
circulation service is the key functions. That too in a college library largely students depends
library for borrowing books. Ours, being a rural college library, circulation service even more
important from the users side, since many of them come from agricultural and underprivileged
sections of the society. Every day on an average 125 lending transactions (issue/return) would be
made through the library. We are at the GFGC Periyapatna library following the Single Card
Issue and Return System. The circulation desk in the college library performs following
functions.
Lending library books to the student and teaching staff
Returns and reservation of library books
Charging overdue fines
Collecting user statistics (Patron Transactions)
Safeguarding library books from mutilation and damaging
Assisting students and teaching community at the circulation desk
9.2. Lending Service at the GFGC Periyapatna Library
First and Second semester students can borrow 3 books at a time for 15 days and later they
can renew it or borrow other books. Final year students are issued 5 books for a period of 15
days. If they want to renew they can renew it or borrow new books from the library. If the due
date expires per day one rupee fine will be collected from students.
Teachers at a time can borrow five books. In certain occasions for example permanent faculty
will be issued extra books if they need without any restrictions or fines. Guest faculty will be
issued five books for a semester. Any additional books will be issued on overnight issue basis.

9.3. Reference Service for Students and Faculty
Another major library service is reference service. Users depends library for various
informational needs such as knowing about a meaning of an word, understanding basic concept
of new theories, new fields of study, finding a specific information on certain things. In such
situations it is the role of a librarian to guide and assist the users to find specific and factual
sources such as dictionaries, encyclopaedias, directories, biographical dictionaries, Almanacs,
Gazetteers, manuals and handbooks and other similar reference sources.
Britannica Encyclopaedia‟s all the 36 volumes are available in our library and it is our prized
possession. Our library is also having good number of dictionaries, thesaurus, dictionary of
quotations, bi-lingual dictionaries, subject specific dictionaries, directories, yearbooks and other
good reference materials.
We are assisting both the faculty and teaching community in their information needs using
various reference sources. The library allows students and teaching community to access read

and reference materials and newspaper inside the library. The library has the sitting capacity of
20 users at a time.

Book bank facility is one of the important facilities for students coming from underprivileged
sections of the society. Government provides funds specifically for SC/ST students‟ grants to
purchase library books. These books are meant to be issued to the SC/ST students.
GFGC-Periyapatna library provides book bank facilities for SC/ST students. Books will be
issued at the beginning of the each semester and collects back after their completion of
examinations. Many students have taken this benefit and excelled in their academics. The
following Table depicts the number of students who have obtained the book bank facilities in the
last five years.

9.5. Question Bank Facilities (Old Question Papers for Reference)
Question Bank facility is also extended for both the teaching and student community. Old
question papers will be collected and categorized based the course (BA/BCOM). Once it is
categorized each semester old question papers will be preserved and allow students access the
same. Old question papers will be issued for reference purpose on all the working days in the
afternoon. The library preserves previous four years question papers. Since 2015 students are
allowed to take the photocopy of the old question papers using their hand held devices or smart
phones. In certain occasion photocopying facility of old question papers will be extended for
students also.
9.6. Over Night Borrowing Facilities for Faculty and Students

This is a unique service that the GFGC-Periyapatna library provides for its students and teaching
faculty. In case, teaching staff or students exceed the limits of borrowing library books, in order
to provide undisturbed library services for teaching and students community overnight lending of
books will be provided. The borrower has to return the books immediately after a day or two.
This facility helped many students and teachers when there is an urgent need of library materials.
9.7. Photocopying and Printing Facilities
Photocopying and printing facility is provided for faculty only in rare occasions this facility
is extended to students. The office photocopy machine is used for printing and photocopy
purpose at present.
9.8. Library Orientation Program
Library orientation program is organized every year for new comers at the beginning of the
academic year. All the information that is needed for students to utilize college library service to
the fullest will be provided in the orientation program.

9.9. Internet Facility
Internet Facility is available in the library. At present the computer attached to the librarian
desk is having the Internet connection through College LAN. The same system is used for
helping students and faculty to access information or N-LIST electronic resources. Our college
computer lab is well equipped with state of the art facility, students access Internet in the
computer lab. Whenever students approach us for information or filling up online application
form such as scholarships and other job related online forms, the library staffs have been
assisting them.

9.10. Career Guidance and Counselling for Students
The library is offering career guidance and counselling for students in its own way. College
library is subscribing Udyoga Varthe, Sparda Spurthi and Sparda Chaithra magazines which
contains information on various job openings in government and other sectors. Apart from this
students will be guided or provided required information on various courses that they can join in
post-graduation or other field of their interest. Through the library we have also helped our
students fill in online job applications in various occasions.
It is the pride of the library to document here that two of our students who had seek the
career guidance in the year 2012 and 2014 have successfully excelled in their field. Mr.Satish
who was the student of 2009-10 batches was guided to join Journalism and Mass
Communication at the University of Mysore, has successfully completed his course and now he
is an employee of a reputed Kannada Daily Newspaper.
Another Student named Mr. Avinash of 2011-12 batches was keen to get into Film Industry.
The Librarian provided the information of Film Schools which gives training in film direction in
Bangalore. Later he joined one of the well-known film school in Bangalore and now working in
Kannada Serial (TV) Industry as an associate director. It brings immense happiness for us. This
is just a two live examples there other students who had guided to choose the field of their
interest.
9.11. Weeding Out Policy
Though the library does not have the separate written policy on weed out of books, every
year at the time of stock verification, brittle, old and unused books will be identified and prepare
a subject-wise report with the cost analysis and write off the same in consultation with the library
advisory committee and the rules and regulation enacted by the Department of Collegiate
Education with regard to disposal of old and unused books.

10. Best Practices (Events and Exhibits)
Apart from managing library and its services, we have also tried to improve existing library
facilities and also introduced various best practices which is very much required for students to
see library not just merely a storehouse of books rather a unique learning resource centre of the
college. It is also important for libraries to engage users as much as possible in its activities. In
this context we at the GFGC-Periyapatna library introduced some of the best practices which are
briefly discussed below.
10.1. Library Computerization (Automation)
Library automation is the use of data processing machines (computer) to carry out traditional
library activities such as acquisitions, cataloguing, circulation, serial control and other library
related activities.
Regarding computerization of library services, our college library automation work is under
process. The college library is using E-Granthaalya integrated library management software
for automating library activities developed by the National Informatics Centre (NIC), New
Delhi. E-Granthalaya ILMS server is hosted on the cloud. We based data entry option has
helped us to speeding the process of data entry. At present the library OPAC of GFGC
Periyapatna is searchable with limited number of documents. In the due course of time
complete searchable Web OPAC will be made available.

10.2. Book Exhibitions
Libraries play an important role in cultivating reading habits through various means. One of
the easiest and best ways is to organize book exhibitions. Book exhibition attracts students in
large numbers and allow them to skim books of their choice. This kind of space makes them to
be selective in their choice and encourage book readings. The benefits of organizing book
exhibition from the library front are many. Student and faculty can purchase books with
discounted price, there will be books of their choice, get the opportunity to see good number of
various kinds of books and gatherings with friends and many more.

10.4. Display of Unique Images
This is another unique practice that is being implemented in the library. Picture‟s worth a
thousand words is a well-known adage. Visual content attracts everybody from children‟s to
elders. Visual contents have the essence of attract once attention and also shape our imagination.
Images are regarded as more worthy than written words. Pictures or paintings can ignite new
ideas or imagination.
In order to create or encourage our students to develop the aesthetics of images the college
library posts/displays images (photos/paintings) of various kinds in its notice board every
fortnight. This has attracted the attention of our students. All the images displayed in the college
library notice board have been collected from various sources such as magazines, newspapers
and websites.
10.5. Display of New Arrival Books
The college library displays new arrivals as and when new books are procured to the library.
There is a separate display rack put in place in the library to display new arrivals. Library users
are allowed to browse these books and borrow them.
10.6. Newspaper Clippings
Newspaper carries the update and current information on various issues that are important for
everyone. Some of the news, articles, editorials and other content published in newspapers are
important source of information and worthy of preservations. Libraries time immemorial has
been practicing in collecting, organizing, and disseminating newspaper clippings.
The GFGC Periyapatna library collects news items of significance to the students and
teaching staff (college information, important news, editorials, reviews, individual achievement

in various fields) of the college published in various newspapers and display it in library notice
board for a for three to four days and changes. Later these newspaper clippings will be preserved
for future references.
10.7. Librarians Day Celebrations
The library since 2015 celebrating librarians‟ day in its own unique way. Last year on this
special occasion the Library Centre in association with the Department of Kannada organized a
talk on “Book Culture”. Dr. Satish Chandra, Associate Professor, GFGC, Saligrama spoke on
this occasion.
This library conducted quiz program for college students. In future also the library will
celebrate Librarians day by organizing unique programs for students. Following Table provides

10.8. Suggestion Box
Very recently library has put in place suggestion box to receive feedback and suggestion
from both the faculty and students. Earlier the librarian used to interact with students regarding
library services and other information requirements. Whenever students recommend new titles
for the library, we have taken immediate measures to procure them to the library. Now we have
formal suggestion box to receive students and faculty feedback.

12. Future Plan
Presently there are 450 students who are studying at the college. Almost an on average 120
students‟ visits library for reference and newspaper reading daily. The library is charted out some
of the future course of action in order to extend more facilities and services for its users.
12.1 Introducing Library Computerized System
Immediate future plan of the college library is to automate the catalogue and circulation
system of the library. Efforts have been made to create library Web OPAC. E-Granthalaya ILMS
is being used for this purpose. Data entry process is under progress and soon this will be
completed. Once data entry is over same will be hosted on E-Granthalaya cloud based server.
After this process circulation section will be automated.
12.2 Introducing Best Library User Award
There were earlier we have made some efforts to introduce best library user award, for
unknown reasons this has not been materialized. In the coming academic year the library will
introduce best library user award and encourage students to cultivate reading habits.
12.3 Developing Unique Information Centre on Tobacco
Periyapatna is known for to tobacco cultivation. This part of the state cultivates tobacco in
large hectares. There is lack information on tobacco cultivation and its ill effects on human body.
There is a need to develop a information centre uniquely provides information related tobacco
and its use and its impact on human body. In the coming days the library of GFGC make efforts
develop unique information centre on Tobacco.

12.4 Organizing programs on online information literacy
Accessing information on the web has become much more difficult and cumbersome. There
are also users can come across all sorts of information on the web. It is high time that there is a
need to train especially students to access right kind of information for their academic purpose.
Thus information literacy is essential for students to access right information at the right time.
The library in the coming days planned to organize online literacy programs for students and
faculty. External experts on this subject will be invited to delivery talks on this subject.
12.5 Developing digital repository of Scholarly publications and Question banks
The library is planning to develop digital repository of question banks and other e-contents
for example scholarly works of the publication of faculty will be digitized and develop digital
repository of question bank and scholarly materials.
