CHAPTER 1: INTRODUCTION OF THE REPORT
The internship training period last within three months, from 25th of Dec to 9th
of Nov
. As a graduate trainee in Import – Export Documentary, I must tried very hard to
make balance between my work and my report.
At the Chapter 2 has overview of Vietrans Saigon Logistic, including: a company’s
ebtablishment and development phases, a company’s obligation, right
University helps students get the basic knowledge of theory. However, with this
knowledge, we can not work and complete the job in practice. So we need additional
knowledge and new skills to learn additional methods in the workplace and society.
At first practice in company practice I still crestfallen, although the school is also the
teacher to share practical experience much, but when the reality is arising a lot of situations
and problems. Require a business person must have expertise and soft skills to handle
situations

2.1 Establishment and Development
2.1.1 Phases of company establishment
According to the decision no. 554/QĐ-BNT dated August 13. 1970, VietNam National
Foreign Trade Forwarding and Warehousing Corporation (Vietrans) – a state
enterprise driectly under the Ministry of Trade, a first delivery organization was
established in Vietnam and active under business accounting system.
During this time, Vietrans is only organization providing freigth forwarding service
lawfully. Company specialise provide services: delivery, freight, warehouse for all
kinds of import and export goods home and aboard.

2.1.2 Phases of company development
8/13/1970 VIETRANS established with Head office located in Hai Phong.
1975Branch office opened in Ho Chi Minh City. 1976 Head office moved to Ha Noi.
1976 Branch offices established in Hai Phong, Da Nang, Quy Nhon and
representative offices in Ben Thuy - Nghe An and Nha Trang. 1987 Member of VCCI

District, HCMC, TNT-VIETRANS EXPRESS WORLDWIDE LTD.: have 2 branches
in Ha Noi and Ho Chi Minh City
2.2 Scope of activities
Vietrans Saigon provides with main services as follows: multimodal transport, project
forwarding, exhibition forwarding, removal, chartering and shipping agent, warehouse,
bonded warehouse operations, customs clearance, transit cargo, import/export, express
service, construction, port operation and management, door-to-door service, logistics,
vehicles, motor-bikes trading

General Manager:

Accounting Department:
Organization and management of the entire accounting activities, financial
decentralization and the rules, according to the provisions of the state.

Administration Department:
The company's personnel organization, of the departments, construction labor
recruitment plan, paid plan each year. Manage departments and HR resource, pay
wages as prescribe by state. Manage all property, company’s office equipment.
The implementation of employment policy, social insurance, perform desk,
presenvation of records as prescribed. Manage subsidiary parts.
Dispatch Department:
Carriage of goods to the company's own inventory or warehouse of the client, or from
the warehouse to the port, the port of entry. Work with agencies such as: appraisal,
schedule, testing…Working with organization related to the process of delivery
depending on the kind of goods as specified by the state such as: Ministry of Public
health, test mechanism. Responsible for the coordination, follow-up testing,
monitoring of vehicles and the legitimate transport partners about document are related
directly to the delivery. Responsible for handling the loss in transit, on the mistake in
documents according to the periodical report on forwarding.
Documentary Department:
Making document import and export.
Contact customer to sign document to making customs formalities, remind customer
clear through custom. Making quotation and booking air, sea for customer.

Certificate the source of C/O. Making arrival notice and delivery order.
Storage:
Use to archive all goods when the company received it but not delivery to customer in
time; or contain goods while waiting customs formalities complete when making
export and use to manage quantity of product on all systems. In addition the company
also has teams coordination responsibility, vehicle maintenance, arrange driver for the

2.1. The company's activity status
2.1.1. Export freight
VIETRANS has operated international cargo express delivery, focusing on three
different forms: via express delivery by sea, forwarding through roads, through the air.
With three forms that are currently being developed, with rapid speed because the
needs of import and export commodities of Vietnam as of this point, due to the
growing impact of international integration and commercial exchanges between the
countries in the world with Vietnam. However, this form of delivery through the Sea
still are the company applied on most of the contract has been made and the
transaction.

In table 3 showed that international goods exports are transported by sea through
the greatest value from the four years 2013-2016, from 45,210 million VND increased
to 55,100 million in 2013, 2014, increased 9590 million VND more within a year.
However from 2014 to 2015, this difference tends to decrease and the remaining 2,311

million VND, but still showed growth in value in 2015. Influenced by the world
economic crisis that the number of goods forwarding company has fallen significantly,
3,166 million from 2015 to 2016, the percentage of international freight forwarding by
sea which achieved 58.43 2016 % increase compared to 2013 and 2014, but decreased
compared to 2015.
The second is the delivery by road, the items are delivered through the
container, the train is primarily with the value just by half compared to the delivery by
sea.
Finally the international delivery by air, developed several years according to
market demand, the compact and the speed for those sensitive goods, not to long from
time to time and as required by the customer.
2.1.2. Transport of goods
Goods are delivered at the VIETRANS in general do not achieve great value
contracts as goods exports, and also because a part is the target of VIETRANS focus
so much and the delivery of the goods to be exported in order to grasp quickly the rare
opportunity, as well as the growth of exports in the past year.

Analysis on the delivery of the goods imported by the various forms of company, with
three principal forms of export commodities, the Company has implemented
operational delivery of goods imported at remarkable growth in 2013-2015 and
decreased in 2016
2.1.3. The market situation of international freight of the Company
2.1.3.1. Structural forms of transportation
Company has many partners from across the world with the purpose and types of
different items, depending on the number of items that the contract value are classified
as high or low , or markets that are classified as potential markets more or less
potential. Here are some market activities of the company in recent years.

America is the largest potential market for the purpose of export of agricultural
products, textiles, footwear and some other items, which use different means to serve
the transportation safety and quality should be the home import selected American
VIETTRANS is his partner. For over 4 years, America still holds the position as the
most important partner of the company with the value of the contract in 2013 is
38,258.756 million and increased as the 52,254.952, a figure almost double in just over
a year. In 2014-2016, the value continues to increase but has slowed a bit because of
the strong development of the other express delivery services company, leading to stiff
competition and more difficult for the activity of the company.

The Thai market was the lowest, although Thailand very near Vietnam, and can
be transported by all the forms, but all of the value of the contract to export or import,
Thailand still not developed by the company. The year 2013 comes with 8,988.875
million in the year 2016 but the contract ended with the figure is 10,546.63 million
lower than the year 2015 and 2016 in turn is 11,579.54 million and 10,623.54
As for the other potential markets such as Russia, South Korea, China, Japan,
Russia is still the preferred partner for cordial relationship as well as target-dependent
of the company is the European market. Just behind us, the delivery contract with
Russian clients achieve high value with 30,057.325 million in 2013 and 50,985.23 in
2016. Meanwhile, the South Korean partner, China and Japan, the slight fluctuations
over the years. From 2013-2014, the number of contracts caused the value delivery
also rose but by the year 2015, this figure has been declining, however, insignificant
reduction level and does not cause the company to suffer budget deficit as well as the
loss of the year. The cause of this reduction is that the company noticed the country
does not have the opportunity to grow and do not reach the desired profit as revenue,
besides, the needs of the partners descending, the foreign trade relations between the
two countries has plunged lead to the foreign trade contracts would be affected and
plummet.
2.1.3.2. the market structure for the delivery of activity by sea
The market of international freight by sea to focus primarily on two potential
markets for the company that is the United States of America and Russia. As for the
two markets, delivery by sea is type safe and gain credibility for partner. With the
quick and precise procedure, operation of sea road is increasingly unpopular and
popular with all the markets.

However, this form of delivery is not to be applied in many countries such as South
Korea, China and Thailand as well as the largest gap the more convenient by road and
air, causing the partners in these countries love the company should request delivery by
road and by air than by sea. Therefore, the number of the value delivery by sea in the
countries that are lower than in other countries as well as compared to the other forms.
In 2012, the value of the delivery activities by sea in those countries only 5000 million,
the total of all three countries of South Korea, China and Japan also by ½ of the USA
or Russia.

However, since 2013-2015, the value delivered by this form still increase evenly while
on the overall total, the total value of the company decreased slightly again in 2016.
This proves that the position and the favored form of transportation by sea is
increasingly being proven and advanced.
For other small markets, the company is subject to the requirements of the
customers, as well as the geographical location where advise the customer type that
best matches the item to import or export. with a certain reputation, in addition to the
potential market, the company has also built up its increasingly wide trade mark on the
country and different territories. This was proved by the value in the it market growing
from 2012-2014 year, though stopped in the year 2015 with 9,157 million but that is
also a cause for concern before the situation changes of the economy in that period.
To the year 2016, due to the situation of world crisis should the foreign economic
activity tends to stagnated on the world, so the company's revenue from the region and
according to this general trend is decreasing compared to the year 2015 and however
revenue the company has also decreased compared with the year 2014 and 2015 but
still larger than the previous year.
2.1.4. the number of contracts the company
Form of delivery by sea is the company VIETTRANS applied in so many contracts,
with many types of clients. Over the years, the number of the contract to be made in the
form of delivery by sea has always occupied a large proportion of the total number of
contracts signed. This was clearly shown in the data table below:

more than half of the contract that the Corporation has signed. This method is
applicable to the export and import contracts worth.
In 2012, the number of the contract and delivery by sea is 49.87% of the number 101
on the contract and the total number of contracts the company 224.
• In 2013, this number rise is 189/347, the proportion is increased more than 8 percent
and 58.25% compared to last year. Continue on the rise, this speed is maintained until
the year 2014, the form of delivery by sea still constitute the majority, and more than
half of the contract was made.
• The year 2015, the company developing the various forms besides the key form is
delivered by sea, therefore, this form in the year 2015 has decreased compared to the
year 2014 and only 184/374 contracts.
Due to the impact quite strongly of the economic crisis, besides the fierce competition
of the Company other services are appearing more and more has led to revenue and
profit of the Company decreased approximately 17% due to the number of contracts
signed was narrow gradually in the form of particular sea forwarding and logistics in
general form
2.2.Description of internship
I have completed the internship from 25th
of Dec to 9th
of Nov in Sales Department, at
position of Admissions Officer in Shipco Transport Vietnam co,..Ltd. Below is the
table listing my tasks during the period that I had spent in this company.

1/ Cleaning
office
Every morning, when coming to the internship
company, you along with my staffs at this ofice
will clean our desks and chairs, computers, office,
change water in flower pots, and arrange new
flowers.
2/ Answering the
telephone
When customers call the company, you will do
the work as supporting answer the phone, asking
the customer what to help ?, meet who ?, then you
will transfer (internal machine press) to the
department that customers want to meet. If the
customer wants to get more the information of
employees in the company, you will not provide
mobile phone number of these people and you
will record the customer's information and
forward it to the employee the customer wants to
contact. Then the employee will actively contact
the customer back.
Week 3
Photocopying the
documents
Before photocopying any documents, I need to
check if the printer contains enough papers or not.
Next, I start the printer, put the paper needed to be
photocopied on the top of the printer, align the
paper and then press the Photocopy button.

Checking and
sorting
documents
Firstly, to perform sorting documents, I need to
check the information on accounting documents
for correction, such as company name, address,
tax code, etc.
Secondly, I begin to sort the company's
documents into the following types:
Export-import documents: customs declaration,
economic contract, packing list, invoice, etc. are
all arranged in order of arising date.
Fixed asset documents: VAT invoices, bills, debit
notes, payment orders, economic contracts,
contract liquidation records, etc. are all clamped
together and sorted by arising date order from the
start day to the last day in month.

Week 4 &
5
1/ Printing
documents
Printing documents is a very necessary for every
employee working in Shipco Transport Viet Nam
Limited Company in particular and other
enterprises in general. Before printing documents,
I check the printer for blank paper, then open the
file that I need to print and simply press Ctrl + P
or go to Print function on the toolbar. If I want to
edit, I can edit and align the file, then click the
Print function if I think the file is ready for
printing.
3/ Checking and
sorting
documents
Money-relating documents Receipts, bills, debit
notes, credit notices, etc. are all arranged in the
arising date order.
Wage records: time sheet, salary payment sheet,
payment slip, debt notification, payment
authorization, etc. are all sorted by month. Bills
and debit notes will be attached to the salary
payment sheet.
Material invoices: VAT invoices, orders,
economic contracts, bills, debit notes,
authorizations, etc. are all put into a set of
documents and also arranged in order of date
from the start day to the last day in month.

Week 6)
1/ Translation of
reports,
documents,
contracts
The company assigned me reports, documents
and contracts which are all in English and needed
to be translated into Vietnamese. During the
translation, I encountered many words I did not
know, therefore, I had to use dictionary to get
them translated. In my opinion, English words in
the field of refrigeration will be different from
common ones. During translation process, if I
face any strange and difficult words, I could ask
other staffs in my company for help. After
completing translation, I had to submit my
translated documents to the supervisor for
revision.

2/ Scanning
documents
In addition to printing and photocopying
documents, scanning also plays a very important
role.
Scanning requires paper documents; I place the
paper’s side needed to be scanned – face down.
On the computer screen, select the scan function,
the scanner starts to run, then the image of the
scanned paper side appears on the computer
screen. If I want to scan in color, select the
"color" mode; otherwise select the “black and
white” mode. Select the size of the scan. Then
select the document I want to scan as PDF or
image file and click the Save button. This is how I
scan the documents.
Week 7
1/ Checking and
sorting
documents
Consumption documents: selling VAT invoices,
economic contracts, delivery notes, receipts,
notice, etc. are all arranged in order of arising date
and attached to other supporting documents to be
complete set.
Payment documents with budget: bills,
remittances to the state budget, authorizing
expenditures, debt notices, etc. are arranged in
actual arising date order.

2/ Inputing Data
Inputting data is the process of using computer by
entering data into the company's database. This
process is quite simple, the company’s staffs
guided me how to input, which indicators needed
to be entered, etc. and then I could easily input the
data from accounting documents into the
company’s database. It was vital for me to type
fast and accurately and sort by arising date order.
Reports, accounting documents after being
classified and sorted will be stored to each file
separately with large ring binders.
I had to store documents and reports in each file
as follows: I will split the VAT invoices, VAT
receipts, receipt file, bills of lading, debt file,
financial documents, debt files, etc. If the books,
documents, reports are many, they will be stored
in a monthly basis, and quarterly basis if vice
versa. Quarter 1 consisted of Jan, Feb, Mar;

quarter 2 includes Apr, May, Jun, quarter 3
includes Jul, Aug, Sep and quarter 4 includes
month Oct, Nov, Dec.
All ring binders will be noted outside with book
title, report, month, year, etc.

CHAPTER 4: CONCLUSION
4.1 Difficulties encountered
I would say that the most difficulty I got during my internship training period is
my working schedule. Unlike other students who concentrate on only their reports, I
have to finish two. They are my work assignments and the report. Fortunately, I also
arrange well my time table to complete the report punctually with much assistance
from some staff in my place.
Secondly, English is quite a difficult language that I have to spend my time
searching and studying many structures. And I, of course, am sure that there are many
mistakes in my writing. In addition, a topic of my report seems not to be an easy one.
As you know, technical terms in Import – Export field are so difficult and not easy to
remember that I have usually misunderstood and made a lot of mistakes. So it takes me
a lot of time to figure out the proper outline and then find out some ideas to support it
effectively.
English is a skilled subject that anyone needs to master must spend much time
studying and practicing, especially translating skill. I really get stressed upon starting
writing this report because I was born with a Vietnamese thinking head. Yes, that is
my trouble when, in my mind, I always translate Vietnamese into the target English.
That’s the reason, in my opinion, why some ideas couldn’t get well fit with the source
language. Of course, there are much more than those I mentioned herein this report.
But at last, I can afford to complete it, too.
4.2 New skills and experience achievements
Through the internship period, I have learned so many things which I think they
are absolutely helpful to me.
First, it is English speaking practice. Vietrans is such a big firm that it has
nearly forty foreign experts. These experts are from different parts of the countries.
However, English is a main language used in almost every part of business operations.
So, it is a good opportunity for me to take advantages of my time to practice English

with them whenever I get chances. In particular I have learned many new words in
Import – Export field.
Then, as I have stated above that besides I am a graduate trainee, I also work as a staff
in the company. English is one of my daily activities. But this time is quite different
because I must try all my efforts to figure out the topic, the outline and then the
compositions as my big project. It really takes me a lot of time because I have to
balance my schedule between my tasks and the report. However, thank to this tight
schedule, I have learned how to organize my time properly and efficiently.
And finally, it is the way how to approach and solve the problems. At school, we only
learn the theories, and sometimes we have activities which require team work or group
work. At work, I devotedly have to gather in group to think what is the best solution or
way to deal with a problem. It is because I work to get monthly payment, not high
marks like students. Furthermore, I have got acquainted with some of Import – Export
procedures of the company, and I believe that I can work well if I am recruited in the
future.
4.3 Recommendations and suggestions
4.3.1. Promote activities to support trade promotion.
In terms of promotion, the State can assist businesses promote activities to
expand export markets.
First: the guarantee for enterprises to implement the big contracts with foreign
partners if they do not really believe in the title and now are reluctant to establish
business relations.
Second: partly financial support for enterprises to organize the exhibition,
introduce and advertise their products overseas market through fairs, exhibitions ...
Third: founded company trade promotion with the task of studying the key
export programs, search hotel advising foreign investors Vietnam enterprise product
and how to penetrate the market.

4.3.2. Financial support and information for businesses implementing activities
expand export markets
Drawback is the general state budget for all international business enterprises of
Vietnam today. In fact except for large corporations.
In terms of human resources: the State can support businesses of the following
ways:
First, is dispatching experts in each field down to guide enterprises directly to
the staff in charge of that area. These experts should be appointed to regular, recurring
to add new knowledge, necessary for business in the international business.
Secondly, helps businesses hire the domestic experts and businessmen there
now needs to ensure a level of accuracy and reliability. There are many jobs that the
cadres and employees of the business can not be done, especially in the evaluation of
machinery and technology imports, but enterprises are trying to contact the experts it
needs the help from the state. In this case, the State can rely on these relationships and
their sources of information that can be rented for business professionals.
In terms of information, trading on international markets requires companies to
grasp hold huge amounts of information about all aspects of their market penetration,
from consumer behavior, the level of competition to the economic situation, political.
But not now afford to self-collect the necessary information and so having the support
of the State.
The state can provide monthly, quarterly and annual publications fit business
sector enterprises on the world commodity markets for the industry reference owed. At
the same time the information through secret channels, the state intelligence to the
enterprise should know what information is useful, necessary, without prejudice to the
security or national interests. Not only that between the state and businesses should
have the contacts, exchange information on a regular basis in both directions to the
State can actively help to businesses in difficult situations. If you do these things to

make sure businesses in Vietnam in general and Minh Hoa Thanh company will be
easier in the performance of its products exported to foreign markets, expanding
export market range bigger.

CONCLUSION
In the process of economic restructuring, export has always played an important
role in the development of Vietnam's economy. Government acquisition adjustment
experiences from other countries have chosen for themselves the most appropriate path
to development
During the past time, Vietrans has made efforts and efforts to promote activities
import-export business in which their exports are mainly goods valve. However, in the
new formation and initial development, the company has a lot of difficult problems
exist in his exporting goods, which are specific to the company so far has not achieved
the goal of profit net.
To overcome such shortcomings, the companies need to identify solutions, the
specific direction, the blueprint for the next stage and make them most effective. For
this the company must associate the direction his development with short-term goals
and long term was coined.
Hopefully, with the result that Vietran has achieved in the past period , together
with the continuous efforts of the company in the coming period, the export of goods
valve of the company will become more developed, achieve market domination valve
Vietnam.

-L/C phải hợp lệ cho đàm phán trong vòng 12 ngày sau B/L. Người mua và người bán
sẽ chịu chi phí L/C của các quốc gia tương ứng. Chi phí cho sửa đổi, nếu bất kỳ tài

Hiệu suất được cản trở hoặc bị trì hoãn bởi các sự kiện với bản chất kháng
hiệu suất như vậy sẽ được mở rộng bởi 30 ngày. Tuy nhiên trong trường hợp này,
người mua hoặc người bán phải thông báo cho người bán hoặc người mua ngay lập tức
bằng fax. Nếu cần thiết, một chứng chỉ rõ sự tồn tại của nguyên nhân hay nguyên nhân
do một cơ quan có thẩm quyền phải được gửi bằng thư đã đăng ký với người bán hoặc
người mua trong vòng 30 ngày sau khi xảy ra các sự kiện kháng.
Nếu sự kiện kháng các hơn 30 ngày, người mua và người bán có quyền huỷ bỏ hợp
đồng này, trừ khi có các thỏa thuận của cả hai bên. Tất cả nhiệm vụ nhập khẩu ngày
càng tăng, bất kỳ chống bán phá giá hàng hoá trong hiện tại hoặc tương lai trong nhập
khẩu và bất kỳ hạn chế bởi giấy phép, hạn ngạch sẽ không được coi là lý do kháng.
ĐIỀU 8: YÊU CẦU BỒI THƯỜNG
Những loại phát ngôn và tự nhiên sẽ được gửi trực tiếp cho người bán bằng fax sau khi
nhận tại điểm đến cảng và phản hồi trong 30 ngày
ĐIỀU 9: TRỌNG TÀI
Bất kỳ phát sinh tranh chấp nào sẽ được giải quyết dựa vào trọng tài quốc tế và tổ chức
thương mại quốc tế và phải thực hiện theo quy định với các quy tắc của Ủy ban trọng
tài có hiệu lực tại thời điểm nộp đơn xin trọng tài.

As a graduate trainee in Import – Export Documentary, I must tried very hard to make balance between my work and my report. At the Chapter 2 has overview of Vietrans Saigon Logistic, including: a company’s ebtablishment and development phases, a company’s obligation, right University helps students get the basic knowledge of theory. However, with this knowledge, we can not work and complete the job in practice. So we need additional knowledge and new skills to learn additional methods in the workplace and society. At first practice in company practice I still crestfallen, although the school is also the teacher to share practical experience much, but when the reality is arising a lot of situations and problems. Export freight VIETRANS has operated international cargo express delivery, focusing on three different forms: via express delivery by sea, forwarding through roads, through the air. For other small markets, the company is subject to the requirements of the customers, as well as the geographical location where advise the customer type that best matches the item to import or export. with a certain reputation, in addition to the potential market, the company has also built up its increasingly wide trade mark on the country and different territories. This was proved by the value in the it market growing from 2012-2014 year, though stopped in the year 2015 with 9,157 million but that is also a cause for concern before the situation changes of the economy in that period.   • 23. 16 Week 1 & 2 1/ Cleaning office Every morning, when coming to the internship company, you along with my staffs at this ofice will clean our desks and chairs, computers, office, change water in flower pots, and arrange new flowers. 2/ Answering the telephone When customers call the company, you will do the work as supporting answer the phone, asking the customer what to help ?, meet who ?, then you will transfer (internal machine press) to the department that customers want to meet. If the customer wants to get more the information of employees in the company, you will not provide mobile phone number of these people and you will record the customer's information and forward it to the employee the customer wants to contact. Then the employee will actively contact the customer back. Week 3 Photocopying the documents Before photocopying any documents, I need to check if the printer contains enough papers or not. Next, I start the printer, put the paper needed to be photocopied on the top of the printer, align the paper and then press the Photocopy button.
  • 24. 17 Checking and sorting documents Firstly, to perform sorting documents, I need to check the information on accounting documents for correction, such as company name, address, tax code, etc. Secondly, I begin to sort the company's documents into the following types: Export-import documents: customs declaration, economic contract, packing list, invoice, etc. are all arranged in order of arising date. Fixed asset documents: VAT invoices, bills, debit notes, payment orders, economic contracts, contract liquidation records, etc. are all clamped together and sorted by arising date order from the start day to the last day in month.
  • 25. 18 Week 4 & 5 1/ Printing documents Printing documents is a very necessary for every employee working in Shipco Transport Viet Nam Limited Company in particular and other enterprises in general. Before printing documents, I check the printer for blank paper, then open the file that I need to print and simply press Ctrl + P or go to Print function on the toolbar. If I want to edit, I can edit and align the file, then click the Print function if I think the file is ready for printing. 3/ Checking and sorting documents Money-relating documents Receipts, bills, debit notes, credit notices, etc. are all arranged in the arising date order. Wage records: time sheet, salary payment sheet, payment slip, debt notification, payment authorization, etc. are all sorted by month. Bills and debit notes will be attached to the salary payment sheet. Material invoices: VAT invoices, orders, economic contracts, bills, debit notes, authorizations, etc. are all put into a set of documents and also arranged in order of date from the start day to the last day in month.
  • 26. 19 Week 6) 1/ Translation of reports, documents, contracts The company assigned me reports, documents and contracts which are all in English and needed to be translated into Vietnamese. During the translation, I encountered many words I did not know, therefore, I had to use dictionary to get them translated. In my opinion, English words in the field of refrigeration will be different from common ones. During translation process, if I face any strange and difficult words, I could ask other staffs in my company for help. After completing translation, I had to submit my translated documents to the supervisor for revision.
  • 27. 20 2/ Scanning documents In addition to printing and photocopying documents, scanning also plays a very important role. Scanning requires paper documents; I place the paper’s side needed to be scanned – face down. On the computer screen, select the scan function, the scanner starts to run, then the image of the scanned paper side appears on the computer screen. If I want to scan in color, select the "color" mode; otherwise select the “black and white” mode. Select the size of the scan. Then select the document I want to scan as PDF or image file and click the Save button. This is how I scan the documents. Week 7 1/ Checking and sorting documents Consumption documents: selling VAT invoices, economic contracts, delivery notes, receipts, notice, etc. are all arranged in order of arising date and attached to other supporting documents to be complete set. Payment documents with budget: bills, remittances to the state budget, authorizing expenditures, debt notices, etc. are arranged in actual arising date order.
  • 28. 21 2/ Inputing Data Inputting data is the process of using computer by entering data into the company's database. This process is quite simple, the company’s staffs guided me how to input, which indicators needed to be entered, etc. and then I could easily input the data from accounting documents into the company’s database. It was vital for me to type fast and accurately and sort by arising date order. Reports, accounting documents after being classified and sorted will be stored to each file separately with large ring binders. I had to store documents and reports in each file as follows: I will split the VAT invoices, VAT receipts, receipt file, bills of lading, debt file, financial documents, debt files, etc. If the books, documents, reports are many, they will be stored in a monthly basis, and quarterly basis if vice versa. Quarter 1 consisted of Jan, Feb, Mar;

  • 33. 26 CHAPTER 4: CONCLUSION 4.1 Difficulties encountered I would say that the most difficulty I got during my internship training period is my working schedule. Unlike other students who concentrate on only their reports, I have to finish two. They are my work assignments and the report. Fortunately, I also arrange well my time table to complete the report punctually with much assistance from some staff in my place. Secondly, English is quite a difficult language that I have to spend my time searching and studying many structures. And I, of course, am sure that there are many mistakes in my writing. In addition, a topic of my report seems not to be an easy one. As you know, technical terms in Import – Export field are so difficult and not easy to remember that I have usually misunderstood and made a lot of mistakes. So it takes me a lot of time to figure out the proper outline and then find out some ideas to support it effectively. English is a skilled subject that anyone needs to master must spend much time studying and practicing, especially translating skill. I really get stressed upon starting writing this report because I was born with a Vietnamese thinking head. Yes, that is my trouble when, in my mind, I always translate Vietnamese into the target English. That’s the reason, in my opinion, why some ideas couldn’t get well fit with the source language. Of course, there are much more than those I mentioned herein this report. But at last, I can afford to complete it, too. 4.2 New skills and experience achievements Through the internship period, I have learned so many things which I think they are absolutely helpful to me. First, it is English speaking practice. Vietrans is such a big firm that it has nearly forty foreign experts. These experts are from different parts of the countries. However, English is a main language used in almost every part of business operations. So, it is a good opportunity for me to take advantages of my time to practice English

Then, as I have stated above that besides I am a graduate trainee, I also work as a staff in the company. English is one of my daily activities. But this time is quite different because I must try all my efforts to figure out the topic, the outline and then the compositions as my big project. It really takes me a lot of time because I have to balance my schedule between my tasks and the report. However, thank to this tight schedule, I have learned how to organize my time properly and efficiently. And finally, it is the way how to approach and solve the problems. At school, we only learn the theories, and sometimes we have activities which require team work or group work. At work, I devotedly have to gather in group to think what is the best solution or way to deal with a problem. It is because I work to get monthly payment, not high marks like students. Furthermore, I have got acquainted with some of Import – Export procedures of the company, and I believe that I can work well if I am recruited in the future. 4.3 Recommendations and suggestions 4.3.1. Promote activities to support trade promotion. In terms of promotion, the State can assist businesses promote activities to expand export markets.   • 42. 35 Hiệu suất được cản trở hoặc bị trì hoãn bởi các sự kiện với bản chất kháng hiệu suất như vậy sẽ được mở rộng bởi 30 ngày. Tuy nhiên trong trường hợp này, người mua hoặc người bán phải thông báo cho người bán hoặc người mua ngay lập tức bằng fax. Nếu cần thiết, một chứng chỉ rõ sự tồn tại của nguyên nhân hay nguyên nhân do một cơ quan có thẩm quyền phải được gửi bằng thư đã đăng ký với người bán hoặc người mua trong vòng 30 ngày sau khi xảy ra các sự kiện kháng. Nếu sự kiện kháng các hơn 30 ngày, người mua và người bán có quyền huỷ bỏ hợp đồng này, trừ khi có các thỏa thuận của cả hai bên.
