List of persons:
The user can also display the selected employees in a list of persons.
The list of persons allows the user to view who the report will be based on before continuing to build the report specifications.
Note: The list content can be customized according to the needs of the client as per Administrator Manual.
Count before after selection:
Shows the number of persons that make up the population from which further selections will be made.
In the example above, the count of employees was 2654 before the population restrictions were made, and 1033 after the restrictions.
Note:
The count of persons both before and after filter restrictions is subject to user authorizations and the start-up filter in use. Therefore, the user only sees a count of the people to which they have access.
Reference date:
Lengths of time are not stored in an SAP database. Therefore, the reference date is used to define fields that are not available in the database, but can be calculated from a reference date and an existing database DATE field, for example:
Age is derived from the date of birth and the reference date
Seniority is derived from calculating the difference between the seniority date and the reference date
Note: The current date (today) is the default value for the reference date, but the value can be changed to any date when running a query.
Example:
The user may query an employee’s age. The result would change according to the reference date used.
An employee who is 25 years old using 11.06.2001 as a reference date, would be 20 years old using 11.06.1996 as a reference date.
Module selection:
The user can choose to query on employee or applicant data by clicking on the appropriate button in ‘Module Selection’.
Output selection:
The user can choose what type of output he or she would like to see.
Definition:
If you frequently query on people belonging to a particular part of your company, a start-up filter can be established to extract only the employees meeting these criteria.
The start-up filter can be saved in the profile of the user so that each time he or she launches a query, the last start-up filter used will be employed unless changed or removed.
Note: the start-up filter can be customized by the Query Administrator according to the needs of the client as described in the Administrator Manual.
Logical operators:
Logical operators are used to make complex selections from the start-up population using a series of logical expressions.
Negative selection can be set against the population settings, inverting the Query’s search, so that inverted values are not included in the query.
The table below describes how logical operators affect population selection:
AND:matches the previous and the next criteria
OR:matches either the previous or the next criteria
NOT:does not include the next criteria
Invert:inverse the full population i.e. this takes all employees not in the current selection.
Brackets:
Brackets are used to regroup logical expressions.
A maximum of 2 open left brackets ( is allowed
Definitions:
Single value
Multiple values can be entered if they are separated by commas or ..
.. Means between
, separates between two single values
Additional values:
#NULL: When creating conditions the user also has the possibility to enter #NULL as a value. This checks whether there are records in the database that do not have an occurrence of the specified field.
#PERNR: personnel number of the user
#DATUM: current system date
#BEGDA: Begin date of the selection or the layout
#ENDDA: end date of the selection or the layout
#VAR: This pattern is used to trigger a pop-up when loading a variant.

Functions:
Minimum (MIN): Shows only the lowest result when there is more than one. Only used on numeric fields.
Maximum (MAX): Shows only the highest result when there is more than one. Only used on numeric fields
Sum (SUM): Shows sum of all values for the field selected. Only used on numeric fields.
Average (AVG): Shows average of all values for the field selected. Only used on numeric fields.
Count (CNT): Counts and displays the number of entries that exist for a field.
Deviation (DEV): Displays the lowest deviation for the field selected. A deviation shows the distance of a measurement from the mean of the population. Only used on numeric fields.
Variance (VAR): Displays the lowest variance for the field selected. A variance measures dispersion around the mean. Only used on numeric fields.
Last record (LST): Takes the most recent record if more than one exists for the validity dates specified. Used for all types of fields.
Note: If this feature is used, Personnel Number must be included in the layout selection.
First record (FST): Takes the oldest record if more than one exists for the validity dates specified. Used for all types of fields.
Note: If this feature is used, Personnel Number must be included in the layout selection.
Count distinct (CND): Counts and displays the number of different entries that exist for a field. Used for all types of fields.
Definition:
Searches all records, including those that do not contain data.
Note: ALL cannot be used with certain complex fields which are linked to two tables. However, most complex fields can be simplified to make the ALL flag work.
Example:
The database has 100 persons with a personnel number and name, 20 of which have no street or city data. If checkbox is set to:
X: all 100 persons, including the 20 with no data in street or city fields will be included, with spaces displayed for address data.
Blank: only the 80 persons with street and city data will be listed.
Definition:
Searches data meeting the criteria that exists today only. This feature avoids double counting for queries over a time period longer than one day. Only the current active information will be taken into account.
Example:
Employees may have worked in different divisions during their working life within a company. It is therefore recommended to check the today checkbox if a list of employees’ current positions is required.
