Consideration means.

 Clarity implies emphasizing on a specific goal rather
than trying to move away from track

 Enhance the meaning of message

Concreteness
 Concrete communication implies being particular and
clear rather than fuzzy and general
 It shows good level of confidence

 Vague, General, Indefinite:
Students’ GAT scores are higher.
 Concrete, Precise:
In 2016 the students’ GAT scores averaged 65%; by 2017
they had risen to 75%.
Courtesy
Courtesy means being polite, kind, judicious, enthusiastic and
convincing
Courtesy reflects the nature and character of the sender f the
message
Courtesy is not all bias in nature
Examples
 Tactless, blunt:
 I rewrote that letter three times; the point was not
clear.
 More tactful:
 I am sorry the point was not clear; here is
another version.
Correctness
Correct communication;
 Boosts up the confidence level of
sender.
 Has great impact on the audience.
 Includes the precision and
accurateness of facts and figures.

  1. The word communication is derived from Latin word “communis” or “ communicare” or “communico”. It means sharing – sharing of information (knowledge) Communication means transfer of message / information from sender to receiver. But, in communication only transfer of message is not sufficient. In addition to this, the message must be properly received and understood by the receiver in proper sense.

The process of communication starts with generation of idea.  This idea arises in the mind of sender.  The sender thinks about a particular matter and thereafter, an idea arises in his mind.  After this he has to convert the idea into message. 7.  After the generation of idea, the sender has to convert his ideas into message.  This process of converting ideas into message is known as encoding.  For this purpose the sender has to select and use certain words or symbols. (such as signs, pictures) 8.  After preparing the message the sender has to transmit the message through some channel or medium.  Channel is some media through which there is a transfer of message from sender to receiver.  There are different channels of communication like letter, telephone, post card, fax, e.mail etc. 9.  When the receiver receives the message he tries to understand it by the process of decoding.  It is reverse of encoding.  Decoding means the process of converting the message into some ideas or meaning i.e. to interpret and to understand the idea in right sense.  The process of decoding is influenced by receiver’s knowledge , intelligence, past experience and his relation with sender. 10.  After receiving and understanding the message, the receiver reacts to it.  This means he gives response or replies to the message.  The message may be immediate or deferred. It may be favourable or unfavourable.  E.g. when a person writes a letter of congratulation to the friend on his success in examination, he may give response by writing letter of thanks.
  4. A complete message will have all the information the reader needs to know to be able to respond or take action. If you require the reader to take some kind of action, ensure that you have a ‘call-to-action’ in your email and also communicate the urgency of the task in question. Incomplete messages lead to iterations, a lot of back-and-forth, and waste of time and effort on both ends
  5. The information conveyed in the message should be complete for the communication to be effective. The sender must take into consideration the receiver's mind set and convey the message accordingly.Complete communication enhances the reputation of the organization. Complete information always gives additional information wherever required, it leaves no question in the minds of the receiver. Complete information helps in better decision making as it serves all the desired and crucial information.
  6. Your message needs to be accurate, to the point and crisp. Conciseness means communicating what you want to convey in least possible words. Conciseness is a necessity for effective communication. Concise communication provides short and essential message in limited words.Concise message is more appealing and comprehensive to the audience. Concise messages are non repetitive in nature

  11. Individuals who work together are not necessarily friends and therefore, to maintain a healthy working relationship, being courteous is a necessity. Hidden insults and aggressive tones will only cause trouble among individuals and result in reduced morale and productivity.

  13. Free from grammatical errors and use of appropriate and correct language. Correct information includes the precision and accurateness of facts and figures used in the message. When too many emails are being written in a day, people tend to type fast and therefore might make spelling mistakes. Spell check will not be able to catch it if the wrongly spelt word is in fact another word in the English language. You also need to ensure that you address people the right way and spell their names correctly. Additionally, you need to ensure that the reader has sufficient knowledge and education to understand the technical terms that you use in your communication
