Trust and Share with Office 365
You are confused with TEAMS, OneDrive, and SharePoint? You don’t know where to put
your documents?
Let’s say that you are running a transformation program, that is composed of several projects.
The project team members are spread among these projects, with a good overlap (people are
participating to at least two projects). Team members are from the Global, the BUs and the
sites.
Some of the deliverables of these projects are reference documents (standards, guidelines,
etc.) that must be made available to all the employees of Your organization.
In parallel, you are a member of a team within the organization of your BU. Your manager
needs to know what you are up to and exchanges with you and the rest of his/her team some
information that should not be visible by the program/projects team members.
You also have some personal documents that concern only you and have no purpose is being
shared with your organization team members or program/projects team members.
This good practice will help you organize.
1. My program and its projects
One program = one TEAMS space.
One project = one Channel for discussion = one folder for document storage.
TRUST among the program members means that ALL contents and discussions are
visible by EVERYONE.
TRUST means that team members do not share out content that should remain inside.
TEAMS is where ALL the work in progress takes place and ALL the knowledge (project
productions and exchanges) is stored.
Newcomers to the project have easily access to ALL the history and knowledge base.
Some team members may not be interested by some topics, but not issue if they read.
EASE OF USE means that ALL the program TEAMS folders are synchronized with your
PC.
Officially approved material to be made available to all the organization should be copied
to an internal public web site, such as a SharePoint Site

My OneDrive
Contains only my personal
stuff that should not appear
into the other spaces.
I work for a team (BU, Site, Department etc.)
My teammates and I are exchanging on topics related to our team. The documents
related to these topics should not be stored elsewhere.
The document related to my projects / programs should not be stored here, as they are
already in another “Team” (e.g. Program). They can be shared by giving a link with the
appropriate access rights.
